The College of Dental Medicine (CDM) seeks to hire an Executive Office Manager as a full-time member of the CDM team to manage various projects required in the Dean’s office for a new dental college in Joplin, Missouri. This individual will perform a wide range of project duties and administrative support functions for the Dean and Senior College Leadership, ranging from student issues, curriculum implementation and evaluation to accreditation.
Essential Duties and Responsibilities:
  • Serves as a liaison between Office of the Dean and direct reports, CDM administration, university central services, KCU Senior Leadership, and the greater CDM Community
  • Supports various CDM committees by preparing meeting agendas
  • Coordinates accreditation activities as required, such as, updating the organizational chart for the CDM, updating various policy manuals and handbooks
  • Facilitates meetings and group visits with and for the Dean
  • Completes appropriate reports tracking this information both externally and internally;
  • Provides support on the Joplin campus for KCU leadership and Board of Trustee as needed
  • Supports the Dean and Senior Leadership in managing various projects
  • Drafts correspondence, power points, etc. for a wide range of individuals and organizations within narrow time frames for the Dean’s signature
  • Manages the operation of the Dean’s office on a day-to-day basis including requisitions for expenditures/supplies;
  • Coordinates and tracks deadlines for external and internal reporting. Facilitates report creation and submission by working with a number of internal and external CDM sources;
  • Works with the HR team to develop and maintain data base to track clinical faculty appointments;
  • Welcomes visitors to CDM Dean’s office by phone, email or in person, answering questions, taking messages, referring to other personnel/offices as appropriate
  • Confers regularly with the Dean to coordinate Office functions
  • Keeps abreast of current University policies and procedures governing a broad scope of functions and programs to support a wide range of inquiries
  • Organizes and maintains appropriate office filing and record keeping systems, including computer applications
  • Performs a full range of support functions for the Dean and Associate Deans:
    • Maintains the Dean’s calendar and schedule appointments, plan and organize meetings, coordinate travel & reconcile travel expenses;
    • Welcomes visitors to CDM Dean’s office by phone, email or in person, answering questions, taking messages, referring to other personnel/offices as appropriate
    • Photocopy, collate and distribute a variety of written materials;
  • Supports KCU and CDM mission and values when working with Trustees, alumni, students, parents, higher education associations, community organizations, and others outside the University in carrying out assigned functions
  • Works with the KCU Special Events team to organize and plan CDM special events
  • Works with University Relations to review the CDM web page, updating and modifying material as needed;
  • Manages the office of the Dean and other CDM Senior Leadership, including supervision of clerical employees or student assistants:
    • Manages the operation of the Dean’s office on a day-to-day basis including requisitions for expenditures/supplies;
    • Coordinates and tracks deadlines for external and internal reporting. Facilitates report creation and submission by working with a number of internal and external CDM sources;
    • Works with the HR team to develop and maintain data base to track clinical faculty appointments;
    • Assists with onboarding and orientation for new faculty.
    • Completes appropriate reports tracking this information both externally and internally;
    • Works with University Relations to review the CDM web page, updating and modifying material as needed;
    • Organizes and maintains appropriate office filing and record keeping systems, including computer applications
  • Assists with onboarding and orientation for new faculty.
  • Photocopy, collate and distribute a variety of written materials;
  • Maintains the Dean’s calendar and schedule appointments, plan and organize meetings, coordinate travel & reconcile travel expenses;
  • Performs other duties as required
Qualifications:
  • Bachelor’s degree preferred with coursework in Healthcare Administration with some work experience in an administrative setting
  • Proficient with Microsoft Office 365 including Word, Power Point and Excel and ability to use Adobe
  • Excellent written and oral communication skills
  • Ability to work under pressure, meet deadlines and be sufficiently resilient to adjust to changes and handle multiple tasks
  • Knowledge of safe working procedures and security measures related to work performed
  • Good general understanding of higher education organizational and governance structures
  • Judgment, tact and resourcefulness
  • Experience with database and other computer applications helpful
  • Strong interpersonal skills and ability to communicate effectively
  • Good organizational and administrative skills. Previous experience in office management and organizing and coordinating events
  • Demonstrates cultural competency and humility and have a commitment to diversity, equity and inclusion
  • Ability to represent the Dean, and deal effectively with a broad range of individuals and groups within and outside of the University
  • Ability to maintain a high level of confidentiality
  • Thorough understanding of sounds business management principles, policies and techniques, including good organizational and record keeping skills
  • Experience in an academic environment providing advanced administrative support is highly desirable or any equivalent combination of experience, education and training which provides the required knowledge, skills and abilities
