The St. Louis Kaplan Feldman Holocaust Museum seeks a highly motivated Office Administrator who will provide administrative support to the Executive Director, Museum Team, and the Board of Directors.
This position is critical to the success of the team and is responsible for:
Providing administrative and office support primarily to the Executive Director and Board of Directors including:
- Coordinating and scheduling meetings;
- Keeping accurate Board and Committee meeting minutes;
- Acting as a liaison as appropriate between leadership and internal/external parties.
- Assisting ED and the accounting provider with process development and documentation;
- Booking travel arrangements and preparing travel reimbursements for staff and board members;
- Assisting with new project outlines, planning, timelines, and tracking;
Supporting other team members of the museum including:
- Working with internal departments to assist with data entry and light bookkeeping;
- Serving as liaison to shared services provider;
- Paying museum credit card and purchase order statements
- Working with office-related vendors;
- Compiling and reconciling data related to contributions, grants, deposits and CC reconciliations with the accounting provider;
- Creating and maintaining procedural documents related to the position.
Providing support and coordination for internal and external bookings in the Impact Lab and other training opportunities including:
- Serving as backup to the Museum’s events coordinator, touring interested clients through rental spaces and explaining prospective training programs available in museum spaces.
- Answering questions via phone, online contact form, and email, or routing to the appropriate party;
Qualified candidates will possess:
- Ability to maintain strict confidentiality;
- Excellent computer skills and experience with Microsoft Office Suite and Office 365.
- Ability to prepare accurate Excel and Word documents
- Experience in non-profit positions supporting a Board of Directors is a plus;
- Excellent communication skills, both written and verbal.
- 5+ years of executive assistant or office administrator experience;
- Ability to work skillfully with external and internal stakeholders;
- Strong detail-orientation and skills in file maintenance;
- Proven organizational skills;
We offer a competitive compensation package including a base salary of $55,000 - $60,000 and benefits package including:
