What You will Do


The Office Administrator serves a vital role in the success of the Admissions and Student Services teams at Texas County Technical College and is responsible for providing administrative support to staff and faculty, current and prospective students, and guests. Under supervision, this position supports the enrollment efforts of TCTC by providing admissions information to prospective and newly admitted students and creating communication materials. This position represents the College to prospective and newly admitted students through numerous interactions, both face-to-face and virtually.


  • Increases percentage of enrollments and starts from leads through training, experience, and diligence of prospective student follow-up with the prospect through correspondence and routine phone conversations to aid in completion of the enrollment process.
  • Processes paperwork; interviews applicants; arranges and conducts campus tours.
  • Adheres to all compliance and regulatory standards.
  • Conducts student follow up calls for scheduling and document requests.
  • Conducts follow-up activities to prospective and new students such as letter writing and phone-calling campaigns.
  • Maintains appropriate and accurate placement records in accordance to ABHES standards.
  • Works to maintain the integrity of the student database (admissions to permanent records) to ensure complete accuracy for local records and state, and federal reporting.
  • Communicates with prospective students, parents, and the community through appointments, phone calls, emails, and other materials.
  • Submits attendance.
  • Maintains confidentiality, following HIPAA, FERPA (Federal Education Rights & Privacy Act), and other applicable laws and regulations at all times.
  • Completes all appropriate paperwork when a new graduate is placed and document all placement activities in the appropriate places
  • Works cooperatively to provide appropriate data for reporting, institutional research, and institutional effectiveness.
  • Assists each lead and/or inquiry to our college in an honest, caring, and thorough manner.
  • Answers incoming calls and direct the caller to the appropriate person; if asked for by name, or department.
  • Advises students and families regarding educational opportunities and options, admission and other requirements, policies, and procedures as appropriate.
  • Receives, sorts and forwards incoming mail.
  • Conducts effective phone presentations and interviews with each candidate.
  • Manages student badging, creating badges for new students and replacing lost badges.
  • Assists with related clerical duties like photocopying, faxing, filing, and collating.
  • Crafts professional verbal and written communications with little to no oversight.
  • Maintains a minimum 70% placement rate for each program offered by the Campus.
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.).
  • Proctors Admission Testing
  • Establishes and maintains an electronic database containing student and graduate employment records, as well as, maintaining complete hard-copy records.
  • Greets and directs visitors to the campus.
  • Maintains a customer focus through organization, professionalism, and warmness to our potential and current students.
  • Counsels individuals to help them understand and overcome personal, social, or behavioral problems affecting their educational or vocational situations.
  • Assists and participates in the public relations activities of the College.
  • Maintains recruiting operations by following policies and procedures; reporting needed changes.

  • High School Diploma or equivalent (Associates Degree from an accredited college or university preferred).
  • Skill in the use of computerized systems and databases.
  • 1 to 3 years’ experience in admissions, retail sales, consumer marketing or recruitment.
