Job Description

Position Summary

The purpose of the Office Executive Assistant position is to assist in the daily operations of Warner Sports Management. We are a full-service baseball agency, focused on providing industry-leading representation to our professional and amateur baseball clients, and their families, across the United States and internationally. We are in search of an executive assistant who is familiar with sports, specifically baseball/softball preferred.We are searching for a long-term addition to our team, who wants to help us build into the future.

The right candidate is a team player and go-getter. Must be able to multitask and follow through with executives, agents, and clients, without being prompted.While this is a task-oriented position, the candidate must be able to see the big picture and take into consideration each individual player's/client's needs and preferences, as we are a highly customizable firm.

We are looking for hard-working and focused candidates who are interested in a career in sports/player representation. This position will be a multi-faceted role that involves providing administrative support to agents as well as client-servicing.The Office Executive Assistant reports to the Senior Vice President. The position is full-time, 40 hours per week. Partial remote work is a possibility for the right candidate.


Position Responsibilities


-Serve as a client and agent contact providing daily service and issue resolution

-Assist clients and agents with a range of servicing requests, including but not limited to baseball equipment ordering, travel/transportation needs, concierge services, communication with teams, general administrative responsibilities, etc.

-Provide support with tasks such as compiling and organizing data, servicing existing marketing deals, and researching new leads for off-field marketing deals for clients

-Research college sports NIL (name, image, likeness) marketing updates and opportunities for amateur clients

-Assist in the management of the agency’s social media channels, including interacting with clients and brand partners

-Leverage social media to create partnership and activation opportunities between the agency’s clients and external brands and companies

-Serve as agency contact and assist with overseeing compliance with MLBPA rules and guidelines

-Assist the Senior Vice President with other administrative tasks and projects as necessary, such as contracts, forms, expense reports, data organization, and baseball research/statistical analysis


Position Qualifications

-Minimum of a Bachelor’s Degree required

-Experience within a sports agency or the sports industry with knowledge of baseball preferred

-Experience or comfort in sales/marketing outreach, client/account management, business development, and cold calling preferred

-Proficiency in Microsoft Office required

-Ability to multi-task, make quick decisions, and work effectively in a fast pace environment

-Ability to be forward facing with clients and effectively communicate on the phone and via email required

Physical Demands

Partial remote work is a possibility for the right candidate, however, phone, internet, and printing availability is necessary. In-person work required at least three (3) days per week.This position is performed in a normal office environment that includes 75% sitting and less than 15% walking and/or standing. This position involves frequently reviewing information on a computer screen and obtaining other necessary information via phone and email. Occasional, travel may be required.
