The Boeing Defense, Space & Security (BDS) Global Business Development team is seeking a skilled Executive Office Administrator (Level C) to provide office administrative support in Arlington, VA.


Position Responsibilities:


  • Performs the following tasks for E4 and above managers on the executive payroll: Coordinates and processes domestic and international business travel arrangements, monitors designated business traveler's logistics, generates expense reports and assists in reconciling corporate credit card charges to ensure timely and accurate reimbursement and verifies payments to corporate credit cards.
  • Works under minimal supervision.
  • Coordinates with the appropriate focal(s) to support the acquisition and maintenance of resources.
  • Provides guidance to less experienced employees.
  • Processes and screens incoming and outgoing communication and correspondence to ensure proper dissemination of information.
  • Tracks and maintains information relative to department and business operations.
  • Plans and implements logistics for senior executive level internal and external events.
  • Orders and maintains office supplies.
  • Collects and compiles data to provide visibility of status for traveler's review and/or signature.
  • Creates, edits and maintains electronic and written communication.
  • Tracks and maintains designated conference room schedules for availability and efficient use of resources.
  • Verbally communicates a wide variety of information to multiple audiences.
  • Prioritizes and schedules management-level employee time and availability for efficient use of time.


This position is expected to be 100% onsite. The selected candidate will be required to work onsite at Arlington, VA. Role may be flexible to allow remote work 1 day per week.


The position must meet Export Control compliance requirements, therefore a “US Person” as defined by 22 C.F.R.
  • 120.15 is required. “US Person” includes US Citizen, lawful permanent resident, refugee, or asylee.
Basic Qualifications (Required Skills/Experience):
  • Experience working under pressure in a fast-paced role with strict deadlines
  • 3+ years of experience coordinating and processing business travel arrangements utilizing Concur or a similar travel and expense management program; generating expense reports for business travel and reconciling corporate credit card charges to ensure timely and accurate reimbursement
  • 3+ years of experience providing administrative support to multiple customers such as executives, managers, and staff members
  • A self-starter and have the ability to work independently
  • High School Diploma or General Education Diploma (GED)
Preferred Qualifications (Desired Skills/Experience):
  • Clear and concise written and oral communication skills
  • Self-motivated and comfortable working in a busy and dynamic environment with competing priorities
  • Experience supporting event-type logistics such as transportation arrangements, catering, restaurant, hotel reservations, and car rentals
  • Willing and able to work with international teams outside standard operating hours
  • Experience ordering and maintaining office supplies
  • Ability to prioritize requests effectively and efficiently and work with a sense of urgency
  • Experience with Boeing administrative systems (Concur, Workday, etc.)
Typical Education/Experience:
Education/experience typically acquired through basic education (e.g. High School diploma/GED) and typically 7 or more years' related work experience or an equivalent combination of education and experience (e.g. vocational school/Associate+5 years' related work, Bachelor+2 years' related work, etc.).
Relocation:
Relocation assistance is not a negotiable benefit for this position. Candidates must live in the immediate area or relocate at their own expense.

Summary pay range: Min: 60,350 – Max: 81,650
