Are you an office administrator who is looking for fulfilling work and an opportunity to develop professionally which will enable future growth potential? The Sustainability & Future Mobility (S&FM) group is currently seeking an Executive Office Administrator to join their hybrid team, in Arlington, Virginia!


We are looking for a broad range of experience including Career and Senior level Executive Office Administrators.


The ideal candidate has experience supporting executives, possesses a high degree of professionalism, and discretion. This role will include supporting 1 Vice President and 3 Directors in a dynamic environment while prioritizing each executive’s schedule and travel arrangements.


The successful candidate will be proactive, demonstrate a robust attention to detail and an ability to adjust priorities efficiently and effectively. They will also have the ability to quickly familiarize themselves at a high level with new issue areas as well as the ability to shift from supporting work in one issue to the next.


Qualified candidates must be able to demonstrate positive working relationships at all levels, with strong collaboration, communication and people skills.


Position Responsibilities:


  • Processes incoming and outgoing communication and correspondence to ensure proper dissemination of information
  • Monitors designated business traveler's logistics
  • Orders and maintains office supplies, distribution lists, and Boeing files and applications
  • Generates expense reports
  • Tracks and maintains designated conference room schedules for availability and efficient use of resources as well as coordinate logistics for meetings
  • Provides guidance for less experienced employees
  • Collects and compiles data to provide visibility of status for traveler's review and/or signature
  • Creating and maintaining group calendars and meeting notices for the directors and their teams
  • Assists in reconciling corporate credit card charges to ensure timely and accurate reimbursement and verifies payments to corporate credit cards
  • Tracks and maintains information relative to department and business operations
  • Supports logistics for executive level internal and external events
  • Creates, edits and maintains electronic and written communication such as memos, announcements, reports, presentations, meeting minutes and notes utilizing Microsoft Word, PowerPoint, Excel, Word and SharePoint
  • Verbally communicates a wide variety of information to multiple audiences
  • Prioritizes and schedules management-level employee time and availability for efficient use of time
  • Coordinates and processes domestic and international business travel arrangements
  • Works under limited supervision
  • Coordinates with the appropriate focal(s) to support the acquisition and maintenance of resources


This position is hybrid. This means that the selected candidate will be required to perform some work onsite at one of the listed location options. This is at the hiring team’s discretion and could potentially change in the future. This position currently supports 4 days onsite, 1 day offsite, with flexibility to adapt to other arrangements as needed.


This position must meet export control compliance requirements. To meet export control compliance requirements, a “U.S. Person” as defined by 22 C.F.R.
  • 120.15 is required. “U.S. Person” includes U.S. Citizen, lawful permanent resident, refugee, or asylee.
Basic Qualifications (Required Skills/Experience):
  • 2 or more years of experience supporting calendars, travel and meeting for higher level management
  • Team player, able to work in collaborative environment
  • 2 or more years of experience providing office administrator support to a senior or higher-level manager
  • 2 or more years of experience making domestic and/or international travel arrangements and generating expense reports
  • 3 or more years of experience composing and editing documents in Microsoft Word, Excel, Outlook and PowerPoint
Preferred Qualifications (Desired Skills/Experience):
  • Experience managing and organizing multiple deliverables and deadlines with minimal direction
  • 3 or more years of experience converting data into a presentation
  • High School Diploma or higher
  • Experience as an Office Administrator supporting a Vice President
  • 5 or more years of experience with maintaining calendars and executive relationships
  • 3 or more years of experience in a role which required strong interpersonal and communication skills
Typical Education/Experience:
Career (Level C)
Education/experience typically acquired through basic education (e.g. High School diploma/GED) and typically 4 or more years' related work experience or an equivalent combination of education and experience (e.g. vocational school/Associate+2 years' related work, Bachelor, etc.).
Senior (Level D)
Education/experience typically acquired through basic education (e.g. High School diploma/GED) and typically 7 or more years' related work experience or an equivalent combination of education and experience (e.g. vocational school/Associate+5 years' related work, Bachelor+2 years' related work, etc.)
Relocation:
Relocation assistance is not a negotiable benefit for this position. Candidates must live in the immediate area or relocate at their own expense.

Summary Pay Plan Career Level: $60,350 - $81,650
Summary Pay Plan Senior Level: $68,850 - $93,150
