SUMMARY:
The Office Administrator will organize and coordinate office administration and
procedures, to ensure organizational effectiveness, efficiency, and safety. The
Office Administrator is responsible for developing office communication
protocols, streamlining administrative procedures, conducting administrative
field assignments, inventory control, payroll, tracking and assisting with
procurement and grant projects. An extensive knowledge of clerical, office and
management procedures is required.
Critical to the success of this role is the ability to maintain sensitive information
confidentiality. The position exercises considerable independence of action in
routine administrative matters, which often involves handling a broad scope of
proprietary and private information. The incumbent must have a thorough
knowledge of government functions, policies, rules, regulations, and objectives.
When working in the field there is exposure to dirty, noisy, and dusty conditions and disagreeable
odors and unpleasant weather.
DUTIES AND RESPONSIBILITIES:
- Provides complex administrative support to the Engineering Divisions
which includes, but is not limited to: preparing correspondence, receiving
visitors, coordinating and managing the Operations and Engineering
member’s individual schedules, conference calls and meetings, recording
and preparing court and work session minutes for publication, document
creation and management, frequent written and verbal communication
with employees and department heads, working with external vendors and
providers, tracking invoices, and file management.
- Assist the Engineering staff with the timely submittal of complete and
accurate Procurement and Grant documentation.
- Assists with the development of standard operating procedures for the
department.
- Conducts assessment of workflow and suggests operational changes for
efficiency.
- Assists with the design and planning of various departmental strategies.
- Reviews budget for operational and CIP projects
- Assures the Operations and Engineering members are fully prepared for all
official and unofficial proceedings with up-to-date information and
background data, complete agendas and documentation, and accurate
schedules.
- Performs special projects and prepares various forms and reports on behalf
of the Division.
- Maintains contact with employee groups, professional organizations, legal
counsel, and government agencies. Collects and disseminates information.
- Reviews and verifies materials for completeness and conformance with
established standards and policies.
- Serves as liaison between applicable support staff, internal departments,
and the public.
- Assists the Engineering staff effectively with project initiatives (i.e., data
collection, tracking, copying, filing, etc.).
- Keeps current with trends and developments related to essential job
competencies.
- Performs all other duties as assigned by supervisor/s.
EDUCATION, LICENSE AND EXPERIENCE:
- Associates degree in Business, Humanities, or some post high school
education, is required.
- Three years of relevant experience including at least one year with a utility,
government agency or public service organization
- Valid Virgin Islands Driver Licensure is required.
