About this Position:
The Kidspace Executive Assistant directly supports the success of the CEO in performing their primary duties at Kidspace Children’s Museum, a leading nonprofit cultural institution in Pasadena, CA. This position is responsible for shaping and executing processes, policies, and logistics that contribute to staff excellence, positive community interactions, and workplace satisfaction. The incumbent will also provide direct assistance to the Museum’s senior staff and oversee general office administration, working both onsite and offsite in a hybrid work style.
This position reports directly to the Chief Executive Officer.

Job Responsibilities
- Actively contributes to building a culture of inclusivity, collaboration, and play.
- Skillfully manages the complexities of timelines, communication, and deliverables for large-scale initiatives
- Drives processes, protocols, and communication strategies that enhance museum functions. Strategically evaluates institutional processes and communications, identifies opportunities for improvement, and oversees implementation.
- Cultivate and maintain relationships within local government and other organizations that facilitate effective partnerships for capital campaigns and other mutually beneficial collaborations.
- Works collaboratively across teams both independently and in partnership with executive leadership. Attends key meetings to document, clarify, recap, organize next steps, and follow up with stakeholders
- Acts as key liaison to museum board, local politicians, and community partners. Responsible for Board communications, materials, meeting planning and documentation, and general follow-up
- Provides organizational and administrative support to senior staff, including (but not limited to) filing expense reports, scheduling and coordinating travel, and scheduling key meetings. Manages institutional and managerial timelines, and provides prompts and follow-up to ensure deadlines are met. Oversees planning and implementation of ongoing staff workshops and training.
Minimum Job Requirements:
- 5 years of experience in office management, including proficiency with PC-based tools, including Windows, MS Office/365; executive and organizational management preferred.
- Excellent verbal and written communication skills are essential; Spanish speaking skills preferred.
- Bachelor’s Degree or equivalent experience.
- Experience managing external vendors and partners.
- Experience managing data, org charts, and financial reports.
Compensation & Other Benefits:
This is a full-time, exempt position. The salary range for this position is $80,000-$90,000 per year. There is an array of benefits available, including medical and dental, vision, 403(b), and more.
