Job Description
Are you a friendly and reliable collaborator, whether working with your peers or executives on the team? If so, then the Executive Assistant position in Walt Disney Imagineering at The Walt Disney Company might be right for you!


This position supports two Director level executives and their teams within the Walt Disney Imagineering Tech Studio team. You would be a part of the Project Technology Integrations and Ride and Show Control Software Development Teams.


You will join a team of engineers, developers, and project managers who share a passion for solving hard problems. As an Executive Assistant you are a key part of the support team that keeps Tech Studio building ground-breaking experiences. You are quick to respond, anticipating the needs of your executives, always staying one step ahead. You manage busy calendars as well as assist with on-site demos both for other Imagineers and top executives across the company.


Responsibilities


Every day in this role is different! On any given day you might:


  • Order supplies and equipment along with other office management duties
  • Ensure the executive is prepared for meetings and events
  • Attend meetings to take notes as well as follow-up on action items
  • Coordinate onboarding/offboarding of team members
  • Schedule and host in person and/or Zoom meetings which could include presentation sharing and booking conference rooms
  • Protect Executive’s time through strategic and proactive calendar management and vetting a variety of meeting requests
  • Work closely with the Executive on activities, projects, meetings, event planning and office logistics
  • Manage Travel & Entertainment expenses for your executives and their teams
  • Prepare professional PowerPoint Decks
  • Thoughtfully manage complex calendars
  • Book domestic and global travel for your leader and their teams and build travel itineraries
  • Prepare reports to be shared with leaders and stakeholders
  • Proactively resolve problems and pitch in to help


Basic Requirements


Here’s what you will need to be successful in the role:


  • Proven success partnering and interacting with all levels of Cast Members/Employees including Executive Leadership
  • Experience with SAP and Concur.
  • 3 years minimum experience in an administrative role
  • Professional and highly discreet while maintaining absolute confidentiality
  • Experience handling confidential information. Exercises good judgement and discretion while maintaining confidentiality of information and documents.
  • Strong proficiency with standard office tools such as Microsoft Outlook, Word, PowerPoint, Excel
  • Flexibility to work overtime as needed in urgent situations.
  • Excellent organizational skills and attention to detail with the ability to prioritize tasks and handle multiple tasks with set deadlines.
  • Effective communication skills, including diplomatic and professional handling of telephone and email communications
  • Ability to be pro-active, resourceful, flexible, and responsible


Preferred Requirements


It would be a plus if you also had these skills:


  • Experience within the Walt Disney Company or experiences supporting executives in an entrepreneurial technology organization.

  • High school degree or equivalent

  • Bachelor’s degree


The hiring range for this position in Glendale, CA is $49,938 to $66,990 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
