About Internet Safety Labs
Internet Safety Labs, a 501(c)3 nonprofit organization, is the first independent software product safety testing organization, building the science of software safety measurement. Our mission is to illuminate and quantify the risky behaviors of software and software driven technology.
Since 2019, ISL has created software safety standards for mobile apps and websites, conducted safety audits, and performed an extensive US K12 EdTech safety benchmark. Join our team as we continue to lead software product safety, unrelentingly on the side of consumers.
Job Summary
As the Executive Administrator for Internet Safety Labs, you will work directly with the Executive Director, Operations Director, and other Executive Staff. You will be responsible for performing key administrative duties. The ideal candidate for this remote position is highly self-motivated, professional, has excellent communication skills and has a strong attention to detail. You will conduct a variety of other projects and activities supporting the executive team at our fast-paced startup organization.
The ideal candidate will be in the San Diego area and available during regular business hours in Pacific Time Zone. Nonprofit experience is a plus, but not required.
Responsibilities and Duties
The Executive Assistant is responsible for all executive administrative duties.
- Attend meetings and record notes
- Manage Microsoft 365 administrative functions such as creating new accounts
- Administrative support for the Executive Director
- Manage incoming IT inquiries and direct to support staff
- Schedule meetings and maintain calendar
- Make travel arrangements
- Create and send communications
- Update presentations
HR Duties
- Manage human resource records
- Manage DocuSign account – send documents for signature, set up templates, and file signed copies
- Post human resource updates to the team
- Set up and manage employee training initiatives
- Maintain organization calendar
- Post jobs and
Finance Duties
- Provide variousfinance services such as data entry, obtaining receipts, and proofing spreadsheets
- Assist with time tracking allocations
- Assist with payroll
Marketing Duties
- Update other website content (WordPress)
- Manage social media account (LinkedIn & Twitter)
- Add new blogs to company website(WordPress)
- Update presentations and marketing materials
Fundraising Duties
- Research fundraising opportunities
- Update presentations and fundraising materials
- Provide support for fundraising applications
- Assist with fundraising audits
Other duties as required
Qualifications and Skills
- 5+ years of experience as an Executive Assistant or equivalent
- Must be comfortable working remotely and in a startup environment.
- Strong attention to detail
- Strong problem-solving skills and the ability to work independently and proactively.
- Ability to adapt to changing priorities and maintain a positive attitude in a fast-paced environment.
- 5+ years of experience using Microsoft Office Suite (SharePoint, Outlook, Excel, and PowerPoint)
- Strong organizational skills with the ability to manage multiple tasks and special projects.
- Highly self-motivated individual with the utmost professionalism
- Excellent verbal and written communication skills, with the ability to interact professionally with all levels of staff, clients, and external partners.
Compensation
- Part-time (20-25hrs/week), hourly position
- $22 - $35 per hour
