Who We Need
The C-Level Executive Assistant (EA) will support the Chief Legal and Compliance Officer and the Chief Analytics Officer and report to the Administration Manager. In addition, the EA will assist with the needs of other departments on an as-needed basis. The selected candidate will work independently, performing a wide range of complex and confidential work. The EA must be invested in ensuring they understand what is most important to the Chief Legal and Compliance Officer and the Chief Analytics Officer. The key to success is grounded in the partnership established between the Executives and the EA. The result is the relationship is solidified, trust is established, and resources have been put into place to ensure knowledge is acquired and applied.

What You’ll Do
As a C-Level Executive Assistant (EA), you will fully support the Chief Legal and Compliance Officer and the Chief Analytics Officer across multiple time zones by proactively:
  • Skillfully orchestrating troubleshooting activities, follow-up of all details, and responding to the unexpected.
  • Writing a clear, concise cover letter to accompany a variety of filings.
  • Serving as a liaison, as directed, for matters of importance.
  • Identifying and evaluating potential problems and resolving them effectively and efficiently.
  • Assisting in preparing, editing, proofreading, and formatting presentation materials.
  • Anticipating their needs; ensuring all required information is finalized and submitted timely to meet deadlines and deliverables while:
  • Working quickly and efficiently; remaining flexible to shifting priorities.
  • Easing decision-making with a keen sense of timing.
Meeting Arrangements / Event Planning
  • Facilitating meeting arrangements, including reserving conference rooms, and ensuring necessary supplies, equipment, refreshments, etc., are available.
  • Tracking, facilitating, and resolving issues with their calendars and priorities.
Workflow Management / Collaboration and Mentorship with EAs and Administrative Team
  • Applying skills in current technology to ensure a well-managed workflow by:
  • Creating and maintaining a system for organizing and storing electronic and hard-copy information, as requested.
  • Providing leadership and mentorship to other EAs.
  • Managing independent projects to fruition successfully on an as-needed basis.
  • Performing administrative backup support for other EAs.
  • Elevating efficiency and effectiveness of existing administrative processes in partnership with the Administrative team.
Travel Arrangements, Expense Reports / Invoices, and Purchase Requisitions
  • Reconciling monthly Corporate Credit Card statements.
  • Being proactive in all travel logistics and resolution of conflicts.
  • Coordinating travel (domestic and international) via Corporate Travel Manager by:
  • Providing precise details of travel and agendas.
  • Preparing and submitting travel expense reports timely.
  • Reconciling expense reports.
  • Reviewing and submitting invoices and purchase requisitions.
Qualifications
What you’ll need:
Required Qualifications
  • 7+ years of experience supporting a C-Level Executive.
Knowledge, Skills, Abilities
  • Proactive and self-directed.
  • Excellent writing, proofreading, editing, and verbal communication skills.
  • Experience in coordinating and managing events.
  • Regularly practice tact, discretion, initiative, and independent judgment within established guidelines.
  • Ability to handle projects and communications of a highly sensitive and confidential nature, where discretion is critical.
  • Executive Assistants must know how to speak and write professionally to executives, business partners, and high-level clients.
  • Strong organizational skills, including the ability to multitask.
  • Strong interpersonal skills and emotional intelligence.
  • Vested in the interest of the integrity of the job.
  • Ability to be available after hours.
  • Attention to detail in all aspects of the role; high-quality standards.
  • High level of proficiency using Microsoft Office programs, such as Teams, Word, Excel, Outlook, PowerPoint, SharePoint, and Zoom.
Preferred Experience/Skills
  • Bachelor’s degree
  • Notary Public
  • 10+ years of experience as an Executive Assistant
