As a Senior Executive Assistant, you will play a crucial role in supporting our executive team and gain valuable experience in a fast-paced and growing industry.


Position Overview


The Senior Executive Assistant will provide comprehensive support to the Chief Operating Officer (COO), Chief Technology Officer (CTO), Chief Revenue Officer (CRO), Chief Human Resources Officer (CHRO), and Chief Financial Officer (CFO). This role will involve managing calendars and schedules, handling communication and correspondence, organizing information, providing meeting support, and assisting with special projects.


Responsibilities


Calendar and Schedule Management:


  • Proactively manage and maintain the executives' calendars, including scheduling and coordinating meetings, appointments, and travel arrangements/expense reports.
  • Prioritize and arrange appointments, conference calls, and events, considering the executives' availability and business priorities.
  • Prepare necessary documentation, agendas, and briefing materials for meetings, ensuring all relevant information is readily available.


Communication And Correspondence


  • Maintain a high level of professionalism and confidentiality in all interactions and correspondence.
  • Field inbound calls from the employer's website's main number. Route calls to the appropriate department.
  • Act as a primary point of contact for internal and external stakeholders, screening and prioritizing incoming communications.
  • Coordinate with Commercial Operations to distribute weekly forecast numbers to business unit leaders.
  • Draft and edit emails, memos, reports, and other business correspondence on behalf of the executives.


Information Management


  • Assist in the preparation and dissemination of presentations, reports, expenses, and other materials.
  • Conduct research and gather information as needed, compiling reports and summaries for the executives' review.
  • Organize and maintain confidential files, records, and documents, both physical and electronic, ensuring quick retrieval and accurate documentation.


Meeting Support


  • Coordinate logistics for executive meetings, including room bookings, equipment setup, and catering arrangements.
  • Follow up on action items and ensure timely completion.
  • Attend meetings, take minutes, and prepare comprehensive meeting summaries and action items.


Special Projects


  • Collaborate with the executives and other team members on various special projects, contributing to their successful execution.
  • Conduct ad-hoc research, analysis, and preparation of reports or presentations as required.


Qualifications And Requirements


  • Proficient in using office software tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and other relevant applications.
  • Ability to maintain strict confidentiality and handle sensitive information with discretion.
  • Strong problem-solving skills, with the ability to anticipate needs and proactively address challenges.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks and handle multiple deadlines.
  • Proven experience as an administrative assistant or executive assistant, supporting multiple executives simultaneously.
  • Strong attention to detail and accuracy, ensuring high-quality work deliverables.
  • A positive attitude, proactive mindset, and willingness to take initiative.
  • Flexibility and adaptability to accommodate changing priorities and work in a fast-paced environment.
  • Excellent verbal and written communication skills, with a professional and courteous demeanor.
