Pathways Management Group is seeking an Executive Assistant that will provide exceptional support and guidance to the Executive Leader with all daily projects, meetings and collaborations.


  • This role is remote but will require up to 20 in-person days per year, for company meetings and professional development at their East Pasadena, CA headquarters.***


This role with include these duties but are not limited to the following:*


  • Coordinates schedules and calendars for assigned executive/supervisor.
  • Provides organizational and logistical support as needed for Supervisors.
  • Supervise administrative support staff.
  • Creates and composes correspondence for Supervisor(s) as needed, providing error-free final product with minimal number of drafts.
  • Collects data and prepares reports, including conclusions and recommendations for Executives/Supervisor.
  • Acts as liaison or representative for Supervisors in routine administrative activities, conference calls, inquiries or other matters as designated.
  • Handles advanced support for staff meetings and activities (minutes and distribution).
  • Assists with other projects, functions and duties as assigned.
  • Updates job knowledge by participating in educational opportunities and researching relevant publications
  • Assist executive with making consistent decisions by advising them of historical precedents; serving as a liaison between other members of the executive team
  • Reviews, compares and prepares various legal documents (i.e. proposals, petitions, applications) for conformation and consistency.
  • Assist the Executive in the drafting and issuance of project proposals, tenders, budgets, cash flows and preliminary schedules
  • Prepare project organization and communication charts
  • Completes projects and special assignments by establishing objectives; determining priorities; managing time; monitoring progress; and problem-solving
  • Reads, sorts and routes incoming sensitive mail for Supervisor, bringing attention to time sensitive or priority mail as needed.
  • Prepares, organizes and maintains corporate documents and records (i.e. notices, minutes, memos, articles).
  • Enhances executive's effectiveness by providing information management support
  • Provides advanced support to other Executives as needed.


Knowledge, Skills And Abilities Required


  • Ability to identify Supervisors' needs and independently resolve potential problems.
  • While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is occasionally required to stand, walk, use hands to finger, handle, or feel; reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl, and taste or smell. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include; close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • Excellent written and oral communication skills.
  • Ability to follow up on task commitments and give updates as needed.
  • Ability to make decisions, exercising reasonable independent judgment and discretion with minimal guidance and/or supervision.
  • Strong organizational and proofreading skills, with attention to detail.
  • Advanced knowledge of executive assistant duties and working with high level positions within an organization (CEO, CFO, Presidents, Directors of Departments)
  • Ability to listen for and take accurate minutes, publish, distribute for Board Members and departments
  • Ability to type 50 wpm.
  • Ability to maintain confidentiality and appropriately disseminate information.
  • Ability to prepare correspondence, reports, contracts
  • Ability to work efficiently under pressure and meet deadlines, while maintaining courtesy and professionalism.
  • Knowledge of maintenance of filing systems, both electronic and physical
  • Knowledge of basic accounting
  • Strong knowledge of business environment and office procedures
  • Intermediate to Advanced knowledge of Microsoft Office


Education And Experience


  • Minimum high school diploma or
