Position Summary:


This is a hands-on, part-time position, with the possibility of future full-time employment. Salary is based on experience and education. Part-time salary range is $28,840 o $35,760. Part-time employees are eligible for some of the Company benefits and are subject to the terms, conditions, and limitations of each benefits program. The Executive Assistant directly supports the CEO/General Manager by organizing calendars, scheduling meetings, taking notes/records, and producing reports or presentations as assigned. Applies extensive knowledge to complete complex, specialized assignments/tasks in creative and effective ways. Comprehensive understanding of the general/technical aspects of the job. Works on complex projects in nature and requires considerable judgment, initiative, collaboration, and technical/specialized knowledge to resolve problems and/or develop recommended solutions.


Essential Duties and Major Responsibilities:


  • Prepares materials and prepares board room for board meetings.
  • Analyzes unit operating practices, such as recordkeeping systems, forms control, office layout, suggestion systems, budgetary requirements, and performance standards to create new systems or revise established procedures.
  • Performs all aspects of administrative support for the CEO/General Manager.
  • Coordinate's collection and preparation of operating reports, such as budget expenditures and statistical records of performance data.
  • Note's commitments and required actions directed by the CEO/General Manager during meetings and arranges for staff implementation.
  • Assist with other duties as assigned.
  • Interprets requests, helps implement action and decides whether the President should be notified of important or emergency matters as needed.
  • Regularly prepares reports, including conclusions and recommendations for solutions to ensure operational and administrative problems are handled correctly.
  • Interprets policies; develops resolutions to problems or refers complaints about the appropriate response.
  • Researches, evaluate, analyzes problems, and confers with appropriate staff.
  • The CEO/General Manager's absence ensures that requests for action or information are relayed to the appropriate staff member.
  • Reads outgoing correspondence for the CEO/General Manager's approval and alerts writers to any conflicts or departure from policies or the CEO's viewpoints.
  • Assist or manage projects as assigned by the CEO/General Manager.
  • May serve as the CEO/General Manager's representative at meetings and express the CEO/General Manager's viewpoints.


Education:


  • High School diploma or equivalent required.
  • Bachelor's degree in business or a related field is strongly preferred.


Experience:


  • 3+ years of administrative support in a senior/executive role, or related experience, required.


Specialized Skills:


  • Adept in technology – Microsoft Office and Adobe.
  • Resourceful, with the ability to maintain the highest level of professional discretion.
  • Proficient at taking and maintaining accurate notes/records.
  • Must have a valid driver's license with a clean driving record.
  • Excellent time management skills.
  • Ability to anticipate the needs of the team and organization.
  • Ability to multi-task and prioritize tasks quickly and confidently.


Supervisory Expectations: This job has no supervisory responsibilities.
