Executive Assistant
$24-30/hr. 6-month contract, contract-to-hire
Overland Park, KS - Hybrid - Mon and Friday WFH
Bell & Associates has been engaged to find our client’s next Executive Assistant. The Executive Assistant to the COO will be responsible for providing administrative support to the COO. This position will be responsible for performing administrative duties, including but not limited proactively managing work, schedules, meetings, travel, etc. The Executive Assistant will possess excellent written and verbal communication skills, exercise mature and professional judgment, and have outstanding time management skills.
Responsibilities
· Handles all administrative and clerical duties to ensure the smooth operation of assigned departments.
· Maintains strict level of complete confidentiality with a high volume of confidential information.
· Coordinates schedules, meetings, agendas, travel, expense reporting, etc.
· Organizes and maintains file systems, correspondence, and other records (paper and electronic as required).
· Possess effective telephone management skills at all levels – from employees to Board Members, and internal/external customers.
· Composes spreadsheets, presentation materials and internal/external correspondence.
· Provides support during events and meetings, including Board of Director meetings.
· Other duties as assigned.
· Collaborate with executive team members and their staff to help execute and prioritize business strategies
- Team player capable of cultivating productive working relationships enterprise-wide
- Provide tactical support to implement ideas; provide support for special projects and initiatives
- Understand business acumen and how their roles fit with the broader business goals
- Comfortable with decision-making authority - identify issues and provide workable solutions, then communicate only the pertinent details to the executive, who may or may not follow up with additional direction
- Plan, coordinate, and implement key strategies on the behalf of COO
- Identify and help solve core problems or opportunities within business processes
- Improve efficiency of executive by taking initiative to set meetings and minimize work conflicts
- Provide department leaders with recommendations and consultation to improve teamwork
- Energetic and eager to tackle new projects and ideas
- Emotional intelligence and diplomacy
- Planning, overseeing, and implementing strategic initiatives requires experience with project coordination, budget management, data analysis, and strong decision-making skills
Requirements
· An Associate’s degree or equivalent work experience.
· Strongly developed written and verbal communication skills
· A strong understanding of general corporate matters and duties are essential.
· Advanced Microsoft Office skills, PowerPoint, Excel, Word, and Visio, with an ability to become familiar with Company and/or task specific programs and software.
· Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities.
- 5+ years’ of experience as an executive assistant reporting directly to senior management is preferred.
- Experience with project coordination, budget management, data analysis, and strong decision-making skills.
