Required Qualifications:


· You are a college graduate with a degree in business administration or customer related field.

· You are an individual with at least 7 years of experience providing administrative support to C-level executives.

· You are detail oriented, highly organized, self-motivated, and possess strong interpersonal skills.

· You are an expert in all Microsoft 365 domains (Outlook, Excel, Word, PowerPoint, Teams etc.).

· You have a keen ability to prioritize based on business needs.

· You can anticipate needs and execute sound judgement in difficult situations.

· You have excellent verbal and written communication skills.

· You have an ability to handle confidential information with discretion and professionalism.

· You are passionate about all things related to mental/emotional health.

· You are able to commit to a 40-hour workweek and available in off-hours for business emergencies.

· You are able to pass a substance abuse screening, employment verification and criminal background check.

· You are local to the Saint Paul, MN area as this is an on-campus position.


What you’ll do (Essential Job Functions)


The role of Executive Assistant is a full-time position. You will work for the CEO as a member of her team. The responsibilities of this position include:

· Managing CEO’s calendar of internal/external meetings and events.

· Handling of critical communication on behalf of the CEO (Emails, Phone Calls, SMS etc.), standing in for CEO during non-critical meetings, preparing agendas, and drafting material for

stakeholder meetings or conferences. Keeping CEO well informed of upcoming commitments

while ensuring schedule is followed and respected.

· Executing professional foresight to anticipate CEO’s needs with little to no direction.

· Making appointments, arranging travel plans, and planning events for respective stakeholders.

· Keeping records of important documents/reports and management of confidential information.

· Act as the supreme gatekeeper for the CEO so they can focus on high-priority activities.

· Scheduling and coordinating in-office meetings.

· Serve as primary liaison for office as it relates to external vendors.

· Coordinate with IT department on all office equipment.

· Partner with Finance to ensure all items are invoiced and paid on time.

· Other duties as assigned by the CEO.
