The Executive Assistant Will:
- Manage information flow in a timely and accurate manner
- Prepare for Mailing/ Mail Certified Letters as well as Distribute USPS Mail, Certified Mail, Fed-Ex Packages, Parcels
- Assist with Pitch Decks for Client Meetings; Review, Assemble, Collect Information as Needed; Printing & Binding Client Meeting Pitch Decks / Marketing Pitch Decks
- Monitor Outlook email as level of permission needed; Occasionally respond on Executive's behalf.
- Book Conference Rooms
- Coordinate Executives' calendars and set up meetings
- Coordinate and Order meals for Meetings & Events
- Coordinate and schedule domestic as well as international travel; Make travel and accommodation arrangements.
- Create Expense Reports - using online system
- Reconcile American Express and Corporate Manager's Credit Cards for Business Use/Expenses.
- Entering and allocating weekly time into time system
- Contact Management via Outlook Contacts
- Make reservations for meetings with Clients or for Internal Staff Development
- Evaluations for MD's - uploading into Workday
- Act as the point of contact among assigned executives, employees, clients, and other external partners
- Format information for internal and external communication - memos, emails, presentations, reports.
Specialized Responsibilities:
- Event Management
- Client Invoicing
- Update Executive's Website Information/ Updating Bio's
- Project Set-Ups via internal system
- Set up Vendors through internal system
- Update Headshots with Photographer
- Assist with all internal platforms
Additional. Special Projects and Cross Operational Support
- Service Now Portal - Specialized IT requests / Equipment Requests
- Equipment and specialist IT requests
Job Requirements
- Strong organizational experience; accustomed to operating in an agile environment
- Comfortable with working with professionals of all levels
- Solid ability to work with minimal supervision and guidance
- 5+ years of Executive Assistant experience in a large organization; consulting environment preferred
- Adept with software systems, including Microsoft Office, spreadsheets, expenses, and internal timekeeping and recordkeeping systems
- Expert oral and written communication skills
