Job Description
Job Summary:
The Executive Assistant/Office Manager will provide expert administrative support to the Founder.
Supervisory Responsibilities:
· None
Duties/Responsibilities:
· Provides high-level administrative support and assistance to the Founder and/or other assigned leadership staff.
· Responsible for planning and executing team building events within prescribed budget.
· Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for Founder and/or other assigned leadership staff.
· Maintains office files; implements an efficient system for other staff to access files and records.
· Arranges travel and accommodations for Founder and/or other assigned leadership staff.
· Schedules and attends meetings on behalf of Founder and/or other assigned leadership staff, taking notes and recording minutes.
· Receives incoming communication or memos on behalf of Founder, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
· Responsible for Founder’s calendar to ensure not double booked and is attending all appointments.
· Ensures Founder’s calendar is adhered to by all staff.
· Performs office tasks including maintaining records, maintenance of office supply inventory, ordering supplies, etc.
· Liaises with Human Resources, as appropriate, to collect employee documentation.
· Communicates with outside vendors as appropriate.
· Oversight of the petty cash fund and Founder’s budget.
· Moderate data entry and occasional quote generation.
· Performs other related duties as assigned.
Required Skills/Abilities:
· Extensive knowledge of office management procedures.
· Outstanding interpersonal and customer service skills.
· Excellent verbal and written communication skills.
· Exceptional organizational skills and attention to detail.
· Excellent time management skills with a proven ability to meet deadlines.
· Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
· Able to type minimum of 60 words per minute.
· Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
Education and Experience:
· Bachelor’s degree in Business Administration or related field preferred.
· At least four years of related experience required.
Job Type: Full-time
Pay: $37,324.00 - $67,345.00 per year
