The A.C.Coy company has an immediate opening for an Executive Assistant III position. Ideal candidates must have at least 3 years of executive administrative support, or previous experience as an executive assistant.


Responsibilities


  • Assist with onboarding and offboarding employees, ensuring all necessary paperwork is completed and filed
  • Exhibit hospitality by upholding the values of our company and portraying a positive image to everyone who comes through our doors
  • Manage confidential and sensitive information with the highest level of integrity. Maintain electronic and physical filing systems, ensuring documents are properly archived and easily accessible. Conduct research and compile data for reports and presentations
  • Partner with Senior Administrative Assistant and Human Resources Team to execute enterprise-wide initiatives
  • Provide administrative support to executives at multiple sites, including Managing calendar of appointments; Scheduling meetings and managing visitors; Completing expense reports and account reconciliation; Composing and preparing correspondence that is sometimes confidential; Arranging detailed travel plans, itineraries, and agendas; Ordering supplies, filing, copying, scanning, faxing, etc.
  • Support various projects and initiatives as assigned by the remote management team/ executives (MLT). Assist in coordinating cross-functional teams, tracking project milestones, and ensuring deadlines are met. Conduct research, gather data, and prepare project-related materials
  • Cultivate and maintain positive relationships with key stakeholders, including board members, senior executives, clients, and vendors. Coordinate and facilitate effective communication and collaboration between the executive and internal/external contacts
  • Proactively plan, budget, organize, and execute meetings, conferences, and company-sponsored events
  • Monitor and update HR databases and systems, ensuring accuracy and completeness of employee data
  • Draft and review correspondence, memos, reports, and presentations on behalf of the executives. Maintain effective communication channels within the organization and with external partners, ensuring timely and accurate dissemination of information
  • Perform other duties as assigned
  • Assist with the coordination of HR-related training and development programs
  • Ensure a positive first impression for visitors and candidates by coordinating all installation, repair and upkeep operations of the Leetonia office
  • Process HR-related forms and documents, such as employment verifications, benefit enrollments, and employee status changes
  • Maintain confidential employee files and ensure compliance with HR policies and procedures
  • Demonstrate reliability with execution of tasks and trustworthiness with confidential information


Qualifications


Education


  • Required High School Diploma or equivalent, Preferred Associates or Bachelors degree in Business


Experience


  • Strong attention to detail and commitment to delivering high-quality work
  • Advanced proficiency in Microsoft office suite, particularly Word, Excel, Powerpoint, Outlook, and Teams
  • Knowledge of HR Policis and procedure preferred
  • Ability to work independently
  • 3+ years of executive administrative support, or previous experience as an executive assistant or similar
  • High Level of Professionalism, ability to maintain confidentiality and handle sensitive information with discretion
  • Excellent verbal and written communication skills, including strong editing and proofreading abilities
  • Strong organizational skills with the ability to multitask and prioritize work effectively
