- Prepares special or one time reports, presentation materials, summaries, or replies to inquiries, selecting relevant information from a variety of sources. May assist in the research, analysis and interpretation of data under the direction of management.
- Responsible for gathering information and compiling dashboards based on frequency required.
- Performs a broad range of administrative support details on a regular basis, requiring initiative and judgment to make independent decisions for which probable errors may have moderate effect on cost impacts or organizational outcomes.
- Helps maintain internal websites/portals. Can create and edit forms using Adobe Acrobat Pro, or other similar tools.
- Maintains operations by following policies and procedures and reporting needed changes.
- Screens telephone calls and visitors, ascertaining who can be redirected to subordinate management. Provides information to callers, including key internal or external sources, which requires comprehensive knowledge of organization policies, practices and operations.
- Creates and maintains accurate and up to date records of office procedures.
- Coordinates, handles, and/or completes recurring projects or one-time projects, as directed by supervisors.
- Maintains leaders' calendars, regularly arranging meetings, conferences, and appointments without clearance. Arranges any function support or hotel and travel accommodations for extended trips.
- Processes invoices according to budget and allocation codes for review and approval of leaders before sending to accounts payable.
- Contributes to team effort by accomplishing related results as needed.
- Take minutes of key meetings and prepare them for publishing.
- Provides exceptional customer service at all levels within the organization, as well as to external stakeholders. Exceptional customer service includes quickly responding to team member issues, all with a polite, empathetic and professional tone and manner.
- Maintains accurate filing system for use by the department.
- Types and proof reads correspondence and communications for proper grammar, punctuation, tone and accuracy.
- Demonstrates the Sun Health Vibrant Living culture and provides all customers/audience with an excellent service experience by consistently demonstrating Sun Health behaviors (the 6 Cs) each and every day.
- Maintains customer confidence and protects operations by keeping information confidential.
- Interprets requests and helps implement action. In absence of senior leadership, directs and ensures that requests for action or information are relayed to the appropriate staff member.
- Strong working knowledge of administrative/specialized business support services as normally demonstrated through three to four years administrative support experience at a progressively responsible level required.
- Excellent oral, written, interpersonal communication skills, as well as a high level of sophistication to effectively communicate and interact with leaders, internal and external to the organization.
- Significant experience in managing calendars for the department.
- Proficiency with Zoom or other online communication technology platforms.
- High School education. Associate's degree or higher preferred.
- Ability to travel in own vehicle, current Driver's license and auto insurance is required
- Must have written communication skills to edit and proofread business correspondence and reports. Also requires the ability to type accurately and efficiently from rough draft.
- Possess current or ability to obtain a Level 1 Fingerprint Clearance Card is required.
- Proficiency with Microsoft Office products, especially Microsoft Excel and Outlook.
