Seeking a dynamic and energetic Executive Assistant to help plan and manage the day-to-day activities in support of the CFAP org. The Executive Assistant role will support two Senior Vice Presidents, four VPs and other department leaders. The role will encompass a wide range of activities including meeting coordination across executive leaders, management of complex calendars, tracking key deliverables, leading the coordination of travel, supporting onsite event planning, expense submission, project coordination, and document preparation.

Within this role, you will:
- Manage the daily/weekly itinerary by resolving scheduling conflicts and proactively reserving time to plan and curate material for important meetings.
- Plan and coordinate department meetings, including weekly staff meetings, SVP round tables and department townhalls. Help set up and manage communication channels in Microsoft Teams.
- Create strong relationships across other admins, facilities, and other supporting teams in order to be most effective in managing the needs of the team.
- Maintain an efficient flow of information between all levels including internal and external contacts on a wide spectrum of plans and priorities.
- Plan and coordinate travel including air and ground transportation, hotel reservations, and other travel documentation.
- Calendar management, prioritizing and providing recommendations on scheduling conflicts.
- Sounding board, confidant, and conduit to keep the SVPs well informed and help facilitate his/her decision making while identifying issues for escalations to keep in constant communication.

Required Qualifications
- Must live within driving distance to Scottsdale, AZ. Will be working in the office 2-3 days per week.
- Must have a flexible schedule to accommodate some evening activities as scheduled.
- Demonstrated success working in an ambiguous environment
- 4+ years of administrative experience supporting Senior Levels and above OR recent grad with a degree in Communications or Business Administration
- Demonstrated success using business judgment to help drive key deliverables of the business
- Strong organizational and communication skills, team orientated philosophy, and problem solving skills
- Demonstrated ability to prioritize and multi-task while maintaining commitment to deadlines
- Proven track record demonstrating ability to work effectively with minimal supervision and use independent judgment
- Use of the Microsoft Office Suite (Outlook, Teams, Excel, OneNote, PowerPoint, and Word)
