Position Overview:

We are seeking a highly organized and detail-oriented Executive Assistant to support the HR department at our reputable investment company located in Boston. The successful candidate will provide exceptional administrative and coordination support to the HR team, ensuring efficient operations and contributing to the overall success of our organization.


Responsibilities:

  • Assist in the onboarding and offboarding process for new hires and departing employees, coordinating logistics and required documentation.
  • Manage confidential and sensitive information with the utmost discretion, maintaining the highest level of confidentiality at all times.
  • Collaborate with cross-functional teams to facilitate smooth information flow and ensure alignment on HR-related matters.
  • Assist in the recruitment process by coordinating interviews, liaising with candidates, and facilitating communication between HR and hiring managers.
  • Act as the primary point of contact for internal and external stakeholders, displaying professionalism and excellent communication skills.
  • Conduct research and gather data to support HR initiatives and decision-making processes.
  • Provide comprehensive administrative support to the HR department, including calendar management, travel coordination, expense tracking, and meeting scheduling for senior HR executives.
  • Prepare, proofread, and format HR-related documents, presentations, and reports, ensuring accuracy and adherence to company standards.
  • Handle ad hoc administrative tasks and projects as assigned by the HR leadership team.
  • Support the organization and execution of HR events, workshops, and training sessions, both in-person and virtually.
  • Assist with HR project management by tracking project timelines, milestones, and deliverables, and providing regular updates to the HR team.


Qualifications:

  • Knowledge of HR practices and regulations is advantageous.
  • Proven experience as an Executive Assistant or in a similar administrative role, ideally within an HR department or a financial/investment environment.
  • Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively in a fast-paced setting.
  • Exceptional written and verbal communication skills, demonstrating professionalism and attention to detail.
  • Strong problem-solving skills and a proactive attitude toward overcoming challenges.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with HRIS systems.
  • A bachelor's degree in Business Administration, Human Resources, or a related field is preferred.
  • Ability to work independently and collaboratively within a team, showing flexibility and adaptability.
  • Discretion and integrity when handling confidential information.
