Job Description

Trademark Hire, LLC has exclusively partnered with a high-profile, multinational, premier real estate investment and development company based in Dallas, TX to place a skilled, business-minded, detail-oriented, highly motivated & organized individual in the role of Executive Assistant, to provide direct support to the Administrative Director (AD), Office of the Chairman. The AD directly supports, and is the gatekeeper/right hand to the Chairman, a high-profile businessman & UHNW individual. The EA will report directly to the AD and all responsibilities will revolve around assisting the AD with all things related to the business and personal needs of the Chairman and his family. The executive office operates on a very professional (including attire), formal and traditional level, and the EA will be expected to work with a high level of professionalism and confidentiality. For this role, we’ll be considering candidates that have at least 4 years administrative experience (EA experience is a plus!) in a corporate setting seeking to elevate into a C-Suite environment and learn from the AD. This is an in-office role.


The ideal candidate is sophisticated, personable, poised, has strong customer service skills, a meticulous attention to detail, keen organizational skills and a proven track record of taking initiative in a professional environment. Additionally, the individual must be a self-starter, possess excellent interpersonal and communication skills with the ability to interact with individuals at all levels within the organization, including top executives, while exercising good judgment and discretion when handling confidential matters. A positive attitude, strong worth ethic, ability to seamlessly multi-task, identify and juggle priorities, work well independently and as a team, is essential in this role.


Hours: 8:30am-5:30/6pm or 9am-6/6:30pm (TBD), with flexibility to work after hours if needed (on occasion). The EA will be expected to monitor their email after hours/over the weekend, responding to urgent needs immediately, and prioritizing others accordingly (next business day etc.).

Key Responsibilities Include (but not limited to):

  • Provide back-up support for the AD when needed
  • As directed, assist the AD with reservations for both personal and business travel, including transportation and accommodations
  • Participate in weekly scheduling meetings
  • As directed, assist the AD with any research and preparation of briefing materials for meetings and travel
  • Register, greet and escort guests as needed
  • Receive and log all invitation and contribution requests to be presented at the weekly scheduling meeting
  • Maintain business and personal contacts
  • Answer phones, handle urgent calls with appropriate judgement, and update the phone log as needed
  • Communicate with various household staff members
  • Assist with ordering lunch and set-up coffee as needed
  • Archive and download personal/business photos
  • Receive and log correspondence & mail, and flag as appropriate
  • Order personal/business items as directed by the AD
  • Allocate credit card statements
  • Maintain documents reflecting confidential personal data
  • Prioritize inquiries and requests
  • Create and maintain files and records for historical and informational reference


Experience/Education:

  • Minimum 4+ years corporate administrative experience (EA experience is a plus!)
  • Bachelor’s Degree preferred
  • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint, Access) and Internet Explorer/Chrome
  • Solid experience working with PCs and Apple products (iPhone, iPad etc.)
