We are seeking a detail-oriented and organized Event Operations Coordinator to support our Marketing Event Planning team in executing successful events. Our Marketing Team is a fun and fast paced group, and this role is ideal for someone who is a creative thinker, problem solver and has the ability to multi-task and has an interest and enthusiasm for books!

This is a hybrid position located in our Naperville, Illinois office.

The Event Operations Coordinator reports to the Sr. Director of Retail Marketing and will work closely with:

• Booksellers, librarians, and event managers to coordinate logistics for events.
• Authors to book travel for events.
• Internal team members to coordinate author events for B2B partners and consumers.

Job Responsibilities:

• Assist with post-event evaluations and follow-up with booksellers, librarians, and authors.
• Create graphics using Canva to support author events.
• Coordinate author visits the Naperville, IL office.
• Communicate with authors, vendors, and event attendees to ensure a seamless event experience.

Knowledge, Skills, and Abilities:

• Detail-oriented, with a focus on accuracy and attention to detail.
• Ability to work well under pressure and meet deadlines.
• Excellent communication and people skills, with the ability to communicate effectively with authors, customers, and team members.
• Strong problem-solving skills, with the ability to think creatively to overcome challenges.
• A can-do attitude and natural ability to adapt to a dynamic environment.
• Professional, proactive and positive demeanor.
• At least 2 years of experience coordinating events or providing administrative support for C-suite executives (managing calendars, travel, and communication with internal and external clients).
• Strong organizational and time-management skills, with the ability to manage multiple tasks simultaneously.

Other Skills:

• Experience with Canva a plus
• Proficiency in Microsoft Office, Outlook, PowerPoint, and Excel

Physical Requirements:

• Prolonged periods of sitting and working on a computer
