What You'll Do


Event Production Coordinator supports the coordination and execution of onsite and hybrid events and productions for an established global technology client. This role is responsible for:


  • Providing recommendations on production and technology enhancements to execute on event vision;
  • Partnering with the internal events, client, and event management teams to collaborate on event content and support needs; and
  • Documenting and communicating all processes and progression throughout the course of each event.
  • Meeting with requestors to plan and review event production needs;


Day-to-day Responsibilities


Production Coordination


  • Coordinate the technical production needs for all events and ensure requirements are in full compliance with established policies and procedures.
  • Oversee the day-to-day coordination of production needs to support live event experiences through professional quality video, audio, lighting, and presentation to allow the client and external partners to connect and communicate their message in a distinct and technologically innovative way to colleagues and customers alike.
  • Serve as an event requestor’s main point of contact from initial exploratory call through live day
  • Participate in assessment of technical challenges and oversee creation of incident and post mortem reports.
  • Organize event metrics and feedback and provide recommendations on areas for improvement.
  • Meet with client teams to understand event scope and provide solutions to meet production requirements.
  • Facilitate equipment rental and other supplemental production requirements.
  • Fill in necessary production crew positions as needed.
  • Assist with presenter preparation including direction, facilitating rehearsal and other pre-event needs.
  • Participate in regularly scheduled meetings with team members to ensure alignment on event procedures, scheduling, and production briefs as required.
  • Ensure fully quality check and optimization of facility, event assets, and experience prior to production.
  • Oversee postproduction needs including basic editing and delivery of recordings.
  • Manage all aspects of day of event support including the coordination of all event resources.


What We're Looking For


Must-have skills & job qualifications
  • 3+ years of experience in live event production, event coordination, broadcast, audio/visual and video production, or another similar field.
  • Knowledge of traditional event production, broadcast and digital equipment.
  • Onsite, virtual, and hybrid live events
  • Excellent collaboration and customer relationship skills with the understanding of the importance of white glove service.
  • Ability to communicate challenging aspects to clients while maintaining a high level of confidence and leadership.
  • 1+ years of experience in:
  • Track record of being organized, detail-oriented, flexible, and working well in a team atmosphere, as well as having the capability to work well individually, is essential.
  • Strong work ethic, self-direction, self-motivation, patience, persistence, and perspective.
  • Ability to maintain composure and a positive attitude during high pressure situations.
  • Consistent proactive preparation and timely responses to multiple channels of communication.
  • Database and scheduling management


Nice-to-have skills


  • Experience in various production roles including but not limited to technical directing, audio mixing, camera operation, and editing.
  • College degree in video production, broadcasting, communications, or similar field.
  • Knowledgeable in the operations and technical execution of video production, audio-visual technology, and event space facilities.


Other Requirements


  • Travel is required based on requirements and location of productions and service needs including meetings at client offices and AVI-SPL VideoLink offices.
  • Valid driver’s license and safe driving record.
