This position is responsible for planning, organizing and implementing events, stakeholder engagement, and communications for the UC Berkeley Institute of International Studies.
Responsibilities
- Oversee the work of student assistants.
- Manage and coordinate event logistics including scheduling, speaker travel and hotel arrangements, event space reservations and food/catering. Promote events across various channels and manage event registration. Communicate with event parties including visiting speakers, cosponsors and guests. Research speaker backgrounds, draft speaker introductions, talking points and "run of show" briefings. Lead event staffing plans, including creation of student assistant schedules for events. Manage day- of logistics including event space set-up and cleanup, catering, and presentation/conferencing technology. Act as on-site staff liaison for vendors, colleagues, and speakers.
- Manage external-facing communication channels including social media channels and groups, print media (fundraising marketing materials, event materials), website architecture, design, and content (news articles, event promotion, and landing pages), and email marketing (a monthly newsletter and various short term email campaigns). Produce editorial content including social media posts, and affiliate profiles. Identify specific communications needs and suggest improvements.
- Represent IIS in campus communications and events groups and collaborate with internal partners including Cal Performances, UC Berkeley departments, internationally- focused student organizations and external partners across sectors. Participate in developing new partnerships and constituencies. Update and manage constituent contact information across platforms.
- Navigate UC Berkeley systems to complete event-related tasks including reimbursements, supplier registrations, invoice processing, honoraria and parking permits. Manage and track event budgets. Gather relevant data for event/program evaluation to inform strategic planning. Review surveys, run reports, analyze post event data and lead event debrief meetings.
Qualifications
Working knowledge of concepts, principles and practices of event planning and production and public relations.
Working knowledge of and/or can quickly learn campus policies, procedures, systems and infrastructure.
Working organizational skills, including skill in effectively coordinating and organizing multiple details. Excellent organizational abilities appropriate to effective calendar management and student and / or volunteer scheduling.
Good judgment, effective decision-making and problem resolution skills, including skill to recognize and deal effectively and appropriately with problem areas, including skill to determine the issues/problems that need to be brought to the attention of higher-level staff and/or management.
Ability to work professionally under pressure and under tight deadlines ensuring excellent customer service.
Written, verbal and interpersonal skills, including tact and political acumen to effectively represent the institution.
Flexibility to occasionally work evenings for events as needed.
Excellent interpersonal skills and ability to maintain positive & professional working relationships with faculty, colleagues, students, visiting speakers and the general public.
Understanding of and commitment to diversity, equity, inclusion, and belonging in a public university setting.
Proficient in MS Word/Excel/Outlook and Google Suite
Bachelor's degree in related area and / or equivalent experience / training
Preferred Qualifications
- Experience with website design
- Experience creating and distributing content using MailChimp
- Experience with creating social media content
Salary & Benefits
This is a full-time, 2-year contract position that is eligible for full UC Benefits. Extension is possible with continued funding.

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.
The budgeted hourly range that the University reasonably expects to pay for this position is $27.80 - $30.00.
