Job Responsibilities:
The Billing Department, in conjunction with the Legal Support Services team, provides a cohesive, full-cycle billing support solution to billing attorneys with complex domestic and international billing books.
You will provide daily e-Billing administrative support ensuring the successful setup of initial client electronic billing information or transitioning this information from one system to another. You will assist with resolving and troubleshooting e-billed rejections related to technical or format issues versus billing-related issues. This role requires a high degree of interaction with business professionals.
You will assist with electronic billing implementations for set up in Aderant and e-billing vendor sites. Review weekly timekeeper alerts for set-up on e-billing vendor sites. You will follow tracking protocol for e-bill client implementations to ensure completion of approvals and requirements. Additionally, you will develop proficiency with local accounting systems (Aderant, Metastorm) and various e-billing vendor sites (such as Tymetrix and Serengeti). You will also communicate frequently via email with clients, staff, and attorneys.
For US clients, you will gather and submit accrual information based on client requirements, research and resolve electronic billing rejections, and maintain an accurate description of all client billing requirements which may also include guidelines established by the client’s general counsel. You will update and track changes to the requirements as necessary. You will track and resolve tickets assigned by the Accounting Service Desk on a daily basis, finalize invoices and submit directly to the client (per policy) or provide to attorneys for transmission to the client (per approved exceptions to policy), and include other billing information as needed. You will submit finalized invoices electronically based on client requirements. You will also serve as a point of escalation to more junior Specialists.
Additionally, for global clients, you will manage global client account assignments and liaise with international attorney and/or finance counterparts to obtain accurate accrual and forecasting information for monthly client reporting. You will follow up frequently with international counterparts to ensure that engaged locations stay within budget and issue invoices timely. You will troubleshoot issues with finance counterparts as needed. You will track and resolve tickets assigned by the Accounting Service Desk on a daily basis. You will also generate global client LEDES files for electronic billing based on client requirements.
Minimum Qualifications:
- Experience with accounting systems such as Aderant and/or Elite Enterprise
- 3 years' experience of direct billing or client account work for a law or professional services organization
- Ability to work independently and is able to take direction well
- Proficiency in Excel
- Proficient in e-billing applications such as eHub or Bill Blast
- Strong communication and interpersonal skills to interact with staff and timekeepers
- High School Diploma
- Team-oriented and have the ability to work effectively and collaboratively in a fast-paced environment
- Accurate proofreader and have strong attention to detail
Preferred Qualifications:
- Bachelor’s Degree in Accounting, Finance or similar field
- Billing experience in an international or global organization
