Director of Event Operations and Administration
For over 37 years the Edison Awards have annually recognized and honored the world's best new products, services, and leaders. We are seeking an experienced Director of event operations with a strong understanding of data and administration.This is a work from home position with occasional in person meetings in either Fort Myers or Chicago.
JOB RESPONSIBILITIES & REQUIRED SKILL SET:
- Invoice vendors and clients through QuickBooks.
- Experience setting agendas and working with vendor partners including Sales, Social Media, Event Production, City Officials, Event Planners and Public Relations to help build the annual plan and drive measurable results.
- Experience managing a large event and nomination process is very important.
- Work under pressure during event season while meeting all deadlines.
- Build program agenda through contacting industry experts and inviting them to present.
- Attention to Detail
- Manage influx of innovation stories and comments, store and access in the shared drive as needed.
- Experience with Financials/Invoicing and maintaining an event budget.
- Create and distribute RFPs as needed to ensure all event needs are accomplished at a high-quality level while being mindful of associated costs.
- Review and enhance new partner strategies (sponsorship, voting, media, nominations, production partnerships, etc.)
- Tech friendly, work with multiple applications/platforms (HubSpot, Award Force, QuickBooks, Google Docs, Zoom Info, RegFox, Excel, PowerPoint, Stripe), etc.
- Executive level communication skills (written, verbal, and presentation skills are necessary)
- Lead collaborative discussions with our Steering Committee and key stake holders motivating them to share knowledge, contacts, and help to drive our mission forward.
- Organize and maintain files in the Shared Drive that are necessary for team’s success.
- Manage the event budget and prioritize multiple tasks at the same time.
- Ability to work independently and in a team environment.
- Having reported to the CEO in a previous role is advantageous.
- Administrative Duties (managing calendars, board meetings, creating letters & presentations)
- Manage multiple vendors who are responsible for producing the awards program.
- Collaborate with the team on operational infrastructure needed to increase efficiencies and execute events.
- Maintain a positive & professional demeanor.
