Job Description

Our young office is award winning for both its design and sustainability focused work, and we are looking for an Office Manager who is interested in growing with us.


The Office Manager will work closely with office leadership to advance the firm’s strategic goals, and the ideal candidate is an energetic, proactive, and disciplined individual who enjoys the good vibes of our office, and who can work toward deadlines effectively.


Requirements & Qualifications:

  • Organized and detail-oriented
  • Excellent writing and communication skills
  • Architecture / Construction background - minimum 2 years is preferred
  • Experience with Microsoft and Google Office
  • Bookkeeper - minimum 4 years is preferred
  • Eligibility to work in the United States
  • Ability to work in a fast-paced environment


Additional Optional Qualifications:

  • Adobe Creative Suite (InDesign and Photoshop)
  • Notary Seal


Duties & Responsibilities:

  • Office Finance Scope, including but not limited to - ongoing bookkeeping; liasing between CPA, finance manager and principals to implement and refine tracking and expense management systems; preparing and tracking invoicing; assisting in preparing contracts. Experience with automated systems is a plus.
  • Maintain and monitor Internal Office digital and physical folder structures
  • Manage Internal Office Wiki, and author or amend posts to maintain general office information for staff reference
  • HR Scope, including administration of staffing paperwork through ADP and internal documents; helping to onboard new employees; manage staffing postings; updating ADP as required; PTO and benefits management , including data entry and assisting in the approval of PTO requests
  • Project Finance Scope, including preparing and tracking expense reports and requisitions for projects
  • Assist with license and insurance renewals and tracking
  • Assist in coordinating and scheduling staff meetings
  • Assist in managing and maintaining the material samples library
  • Maintain general function of Office, including management of regulatory agency correspondence, and ordering and tracking office supplies and equipment
  • Front Desk Operation Scope, including welcoming people to the office, answering and directing calls, and general office hospitality
  • Assist in planning and organizing office wide events
  • Manage incoming and outgoing mail, packages and deliveries


Salary/Benefits & Remote Work Policy:

Archimaera offers a competitive salary and a comprehensive benefits package that includes medical, 401(k) plan, short and long-term disability, discretionary bonuses, and personal time off (vacation, sick, holidays, and personal days). Salary is commensurate with experience.


We have a hybrid in-office/remote policy from our Greenpoint location, and will require 3-4 days a week in office for the first 3 months of employment.


Salary Range: $65,000 - $75,000
