- Ensure accurate, efficient processing and disposition of written correspondence, as well as oral communications, directed to the executive and/or staff
- Process weekly time cards for the department and ensure all information is accurate in Kronos
- Coordinate routine matters, meetings, travel, and various other assignments
- Work with executive in completing annual budget and manage expenses by working with the team to stay within means of the budget
- Maintain awareness of all department projects for the various managers and work as liaison wherever needed
- Provide administrative support and problem-solving assistance toward the total fulfillment of departmental responsibilities
- Prepare and maintain numerous daily, quarterly and annual reports as well as maintains records under various contracts
- Develop a team concept with the executive in order to provide, as an extension of the executive, the leadership and direction necessary to exemplify the philosophy of that office
- Must be able to perform the essential job functions of this position with or without reasonable accommodation
- Complete on-boarding process for new associates
- Communicate and work with various outside vendors in a professional and business-like manner at all times protecting the interest of the company
- Ensure all organizational information is correct and up-to-date in KnowMe
- Assist in managing supervisor's e-mail, correspondence, and calendar
- Utilize patience, discretion and good judgment in setting priorities, answering or directing correspondence, and coordinating various meetings and conference calls
- Proficient in Microsoft Office
- Ability to maintain confidential information and records and make sound decisions
- Strong communication, phone and organizational skills
- Self-starter with ability to adapt to frequently changing priorities and deadlines
- Excellent initiative and efficient follow-up procedures with attention to detail
- Highly organized and proficient at multi-tasking
- Ability to be a part of a team and willingness to help others on the team
- Ability to work without supervision and to make independent decisions
- Familiarity with corporate policies and procedures, organizational levels, and reporting relationships
- Any secretarial experience providing support to a department/large staff; experience within other departments at Kroger
