As a Community Association Manager, you will be responsible for managing a portfolio of communities and properties in the Miami area.
You will lead a team of professionally trained team players who are passionate about creating positive change and supporting you on your mission.
As the Portfolio Community Association Manager, your responsibilities are:
To serve as the chief advisor to the Board on matters pertaining to state law, governing documents, policies, and procedures, ensuring that these guidelines are implemented consistently throughout the community.
To promote a harmonious and efficient daily operation that fosters a positive and supportive environment for members, owners, tenants, and staff, making them revving fans of the honest and holistic way we do business.
To attend meetings of the Board and membership, providing professional direction and assistance as needed and ensuring that the minutes, resolutions, and decisions are documented and implemented as appropriate.
To inspect properties once a week and implement a preventive maintenance schedule to ensure a high level of maintenance.
To communicate regularly with Senior Executives with updates on relevant subject matters.
To ensure that the following tasks are carried out by his/her team:
Maintaining all association records as required by the governing documents and state law.
Ensuring that all association correspondence and notices are accurate and timely.
Ensuring that the association’s liability and damage insurance policies conform to the requirements of the governing documents and applicable Florida law.
Developing and administering the annual operating and reserve budgets. Contracting for the Reserve Study and updates as needed.
Monitoring performance against the adopted budget.
Maintaining necessary records for the preparation of annual audits.
Preparing meeting agendas, drafting recommendations, and ensuring that meeting notices and minutes are accurate and timely.
Performing other duties as deemed appropriate or assigned. Serving as a liaison between the association and other entities, including the developer and builders. This may extend to municipal departments and other community associations.
Overseeing operation and maintenance of all association facilities, ensuring that contractors are adequately trained and equipped.
Preparing bid specifications for contract work and assisting the Board in qualifying and selecting contractors by ensuring that the contractors have appropriate expertise, licenses, and insurance before being considered for any association contract.
Overseeing the covenant enforcement and architectural design review processes in accordance with the governing documents and any applicable law.
Identifying problem areas and recommending action plans to mitigate risks.
Preparing and/or reviewing financial statements, budgets/reports to include but not limited to operating expense reconciliation (CAM Rec), rent roll analysis, monthly financial reports/summaries; have strong knowledge and understanding of CPI increases, escalations, recoveries, etc
Competitively bidding and preparing all service contracts to assure high quality and cost-effective services.
Ensuring compliance/monitoring with contractual terms and requirements.
Regularly evaluating vendors for performance, may indirectly supervise maintenance personnel to maintain the highest standards
Ensuring that inspections and correspondence are timely and accurate and that the notice and hearing process is followed in accordance with the documents and law.
Reviewing and tracking the progress and performance of his/hers accounting team to ensure proper documentation of contracts, invoices, and other expenses to ensure timely payment of bills. Ensures timely collection and other accounts receivables, and the production of monthly financial statements and year-end external audits.
Reviewing and tracking progress and performance of his/hers admin team to ensure track and completion of all the maintenance work orders, inventory and maintenance purchases, and preventive maintenance schedules.
The ideal applicant MUST be licensed (FL CAM) with more than 7 years of experience with a
Valid Florida driver's License and vehicle.
