Job Description

JOB DESCRIPTION

Title:Community Association Manager

Reports to:Reports to the President based on the overall direction of the board.

Hours: Primarily but not limited to Monday-Friday 9am – 5pm

On-Call: Manager shall respond to all after hour emergency phone calls.


The On-site Community Association Manager (CAM) works on property and is the primary liaison to the Board of Directors. Responsible for overall supervision of the community property and accountable to the review the work performed by vendors and to ensure it meets community standards as required. Interacts with internal and external customers including homeowners, vendors and committee members, as well as staff at the Board of Directors.

COMMUNICATION & FACILITATION
  • Draft meeting minutes in the absents of the secretary.
  • Responsible for coordinating emergency services for common area incidents which may occur after hours.
  • Works with realtors/title companies regarding sales.
  • Schedule and coordinate vendor services and preventative maintenance as needed.
  • Prepare management reports for scheduled board of director meetings.
  • Prepare weekly updates to board members and Director of On-Site Services.
  • Performs inspections of homes for compliance of rules; Accountable for ensuring that violation letters are delivered in accordance with community policy and specific company procedures. Advising board of situations of non-compliance.
  • Accountable for reviewing and completing draft community correspondence.
  • Answer phones and e-mails, handle homeowner concerns and questions in a timely and professional manner.
  • Responsible for providing content such as welcome letters, community-wide emails, broadcasts communications to owners and residents.


DATA & RECORDS MANAGEMENT
  • Accountable for the upload and maintain financial documents, approved applications, meeting dates, agendas, event information and any other documents.
  • Monitor and maintain insurance renewals and contract summaries; submits claims to insurance agent.

FINANCIAL & TRANSACTIONAL
  • Send delinquent homeowner accounts to collection attorney as directed by the board and/ or collection policy.
  • Review monthly financials reports for accuracy and request corrections, if needed.
  • Provide monthly collection updates to board of directors.
  • Assist owners with assessment and late payment questions as per the community’s collection policy.
  • Responsible for purchasing all routine maintenance and office supplies and ensuring sufficient stock.
  • Ability to coordinate multiple vendor quotes for any available project.
  • Accountable for ensuring that all lease and architectural applications are processed, as well collect any required payments.
  • Responsible for reviewing vendor invoices for payment.


GOVERNANCE & MEETINGS
  • Attend all board of director meetings.
  • Attend committee meetings as needed or required.
  • Familiar with governing documents, state statutes, board policies and procedures.
  • Prepare, review, and submit all community mailings for approval by the board.
  • Provide guidance to the board regarding community management, financial statements, budgets, governance, violations, best practices, etc.
  • Prepare proposals for contracts, repairs and / or community projects.


SUPERVISION & DEVELOPMENT
  • Conduct inspections of common elements and mechanical equipment of community property to ensure the required maintenance standards are achieved; in a timely manner as prescribed in accordance with contracts or determined by the board.
  • Oversee contractors working on the property. Monitor services for compliance with contract terms.

May be responsible or accountable for any other duties as assigned and directed; based upon emerging or changing business needs.


Other:

  • Ability to pass a background check.
  • Shall maintain and keep active a Community Association Manager’s License through the State of Florida.
  • Obtain additional accreditations from Community Associations Institute.
