Job Description

Our Client, A International Law Firm, is seeking a Client Service Associate in their Washington D.C. Office. This position will require candidates to work on-site.


Responsibilities will include:

  • Collaborate with the Finance Department to support the editing and review process of client bills, correct time entries, and promote time entry best practices.
  • Be available for overtime work as needed.
  • Facilitate the completion of administrative functions, including finance/billing-related tasks, time and expense entry, opening new matters, client presentations, meetings, and other assigned administrative projects.
  • Utilize subject matter expertise to effectively coordinate legal practice tasks and projects.
  • Review and support the client billing process, including proofreading, applying task codes and matter management skills, calculating rates, rate changes, write-offs, preparing expense reports and audits, and maintaining consistency with billing protocols and other accounting functions.
  • Coordinate and delegate tasks and projects to various resources within the firm, such as DPS, Williams Lea, Client Service Center, practice support, or similar departments in international offices.
  • Manage the legal and administrative practices of attorneys, ensuring service levels that meet client requirements.
  • Prepare complex legal documents and correspondence, ensuring their timely filing with the appropriate court or agency.
  • Organize and manage legal practice tasks and projects.


Qualifications:

  • Advanced proficiency in document management applications.
  • Advanced abilities in organizing, prioritizing, coordinating, delegating, and working effectively as part of a team.
  • Proficient to expert level in English grammar, spelling, and punctuation; bilingual proficiency as required.
  • Excellent written and oral communication skills, with a strong ability to meet deadlines and produce results while adhering to firm policies and procedures.
  • Thorough knowledge of timekeeping, expense processing, and legal billing.
  • Advanced MS Office proficiency (Word, PowerPoint, Excel, etc.)
  • Required minimum of 5 years of legal secretarial experience or relevant legal experience.
  • Demonstrated ability to coordinate with other firm-wide departments, possessing strong communication skills for instruction/data transfer, result verification, conflict resolution, and result delivery.
  • Preferred qualification of a Bachelor's degree.
  • In-depth understanding of relevant jurisdictional/court/agency processes and procedures.
  • Mandatory litigation experience.
