Job Description
Summary

Under general supervision of the Municipal Court Administrator, creates, organizes and maintains all necessary databases and paperwork for the complaints handled by the City of Frisco Municipal Courts. Collects fines, fees and court costs, schedules court dates, appeals, notifications, and monitors and controls court dockets.

The intent of this position description is to provide a representative summary of the major duties and responsibilities performed by incumbent(s) in this position. Incumbent(s) may not be required to perform all duties in this description and incumbent(s) may be required to perform position-related tasks other than those specifically listed in this description.

Deputy Court Clerk I Salary- $17.51 - $24.51 Hourly
Deputy Court Clerk II Salary- $18.40 - $25.75 Hourly


Essential Job Functions & Other Important Duties

  • Collects court costs, fines, fees, bond monies, counts and reconciles all monies for cashier windows, posts money received on citations, and prepares daily bank deposits.
  • Maintains databases on citations received from Police Department, prepares case files, interprets judicial instruction and places case information into case file.
  • Processes mail requests for driving safety classes, payment of fines received, attorney requests, court date requests, appeals and bond processing, and returns related correspondence.
  • Monitors and maintains control of court dockets to prevent overload, issues jury summons, monitors jurors, notifies defendants and attorneys of case statues and issues subpoenas and witness notifications.
  • Checks in and lifts warrants on bonds as monies are received, and processes time served that has been granted by the Judge and schedules docket as needed.
  • Notifies defendants by mail of activated warrants and writs of arrest.
  • Prepares arrest warrants, prints complaints, and signs and prepares files for Judge's signature.
  • Researches special projects and implements into court's daily routine for items such as City Ordinances that affect various department citations and resulting court processes.
  • Performs court collections duties including but not limited to: processing extensions as prescribed by the Presiding Judge in accordance with OCA guidelines, provide past due notification to defendants by mail and phone, collect financial assessment form, and set defendants on appropriate court dockets as required.
  • Prepares check requests for Finance Department and mails copies of paperwork to interested parties.
  • Issues Failure to Appear and Violate Promise to Appear citations.
  • Clears arrest warrants and writs as required by the judge, upon service of a peace officer, or compliance by the defendant, in accordance with accepted court and police procedures.
  • Provides customer service at Court Clerk's window and through telephone inquiries to provide fine amounts and schedule court dates and driving safety classes.

Other Important Duties:
  • Travels to attend meetings, conferences and training.
  • Regular and consistent attendance for the assigned work hours is essential.
  • Performs other related duties as assigned.
  • Assists with retrieving case records, reports, and signing of complaints.

Job Requirements

  • Skill in resolving customer complaints and concerns.

  • Knowledge of computers and related equipment, hardware and software for data entry, case information retrieval and research.
  • Skill in following Municipal court practices and procedures.

Deputy Court Clerk I Job Requirements:
  • Must possess a valid State of Texas Driver's License
  • The ability to communicate in Spanish and English preferred.
  • Previous cash handling, posting and reconciliation experience preferred.
  • High School Diploma or G.E.D, and two (2) years general office, clerical or customer service experience.
  • Must pass a pre-employment drug screen, criminal background check and MVR check.
Deputy Court Clerk II Job Requirements:
  • Previous cash handling, posting and reconciliation experience preferred.
  • The ability to communicate in Spanish and English preferred.
  • High School Diploma or G.E.D, and two (2) years general office, clerical or customer service experience.
  • Must possess a valid State of Texas Driver's License.
  • Must possess and maintain Level I Texas Municipal Court Clerk Certificate.
  • Must pass a pre-employment drug screen, criminal background check and MVR check.

Environmental Factors & Conditions/Physical Requirements

  • Work is performed in a Municipal Court environment.
  • Walking - on foot to accomplish tasks, long distances, or site to site.
  • May be exposed to hostile or angry citizens and defendants.
  • Mental Acuity – ability to make rational decisions through sound logic, deductive reasoning.
  • Hearing 1 – perceiving sounds at normal speaking levels, receive information.

Work Environment:
  • Work performed is primarily sedentary work, exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.

  • Equipment utilized includes personal computer, copier, calculator, fax machine, telephone, court information systems and department vehicle.
