Air Products and Chemicals, Inc., a Fortune 500 manufacturer of industrial gases and chemicals, has an immediate opening for a Document Control Specialist II at our Corporate Headquarters in Allentown, PA or our Houston, TX office.The Document Control Specialist II position is part of the Americas Project Execution team within the Global Engineering, Manufacturing, Technology, and Equipment (GEMTE) organization. This role supports Proposals, Project Management, Engineering, Procurement, and Construction Teams to ensure successful execution of capital projects.
With the growing complexity of the projects, explosion of data, and emerging of information technologies (IT), the document management principal support activities has evolved from an administrative role to a focused team with dedicated professionals who have in-depth knowledge of the business cycle, importance of data flow, and technology requirements.
One of the key enablers to our business growth is data-centric and data management that focuses on lifecycle data integrity and digitization to improve the execution capabilities of Air Products' mega projects. A critical goal is to increase the Company's internal EPC execution efficiency by growing the organization's document controller capabilities and driving the full integration of document flow across functional organization. We have a Build, Own, and Operate business model, from developing product lines, through EPC and Operations. The incumbent is charged with following the established standard methodologies, implementing the defined work processes, system tools and document flow to assist in the efficiency of project execution and handover.
Dimensions:
The role's objective is to learn, master and implement the established work practices and processes while continually looking for ways to streamline and improve the global electronic document management system and regional requirements.The candidate must have shown computer experience, preferably in electronic document management systems. The candidate should have base knowledge of document life cycles. This individual will collaborate closely with the Document Control Lead on the Project as well as other document controllers in the Department. This role will report administratively to the Regional Document Control Manager for the America’s and on the Project, this position reports to the Document Control Lead.
Principal Accountabilities
This position is accountable for the following:- Follow the project document management EMDS configuration, review and approval matrix, access control, submittal review, reporting requirements, close out, record retention, and final archiving activities, including Handover to Operations for the region.
- Process outgoing documentation (i.e., quality check, transmittal creation, distribution & reporting).
- Follow the project specific data and document execution plan using the standard global template to deliver the project requirements.
- Support Field Document Control activities as needed.
- Will attend Project Level Trainings by Phase of Execution: Engineering, Detail Design and Construction.
- Will be a “Go To” user of EDMS on the Project to support other Disciplines & Departments in the accurate use & implementation of our system.
- Taking direction from and working with other project document control resources on the Project.
- Ensure handover to Operations is in accordance with the latest approved procedures.
- Will follow the appropriate reporting structure to keep the project leadership advised of all document status, exceptions, and expediting requirements.
- Process incoming documentation (i.e., registration in the EDMS, quality check, distribution, life cycle follow-through & reporting).
- Ensure the established processes and procedures are implemented accurately and followed through efficiently to completion to support the schedule of the Project.
- Assistance in the preparation, collation and issue of reports and registers on the Project.
- Understanding and implementing the document management requirements for the Project.
- Use the EDMS to establish and maintain the Master Document Register in agreement with the Project team.
- Ensuring the use of standardized forms and templates.
- Makes sure that controlled copies of the latest approved documents and drawings are handled in accordance with the established procedure and distributed internally and externally.
Critical Competencies:
- Knowledge of what an Electronic Document Management System is (EMDS) and how it is used in a Project environment.
- Knowledge of document life cycles & basic understanding of the importance to track relevant attributes, statuses and being able to report on that information.
- Must have confidence to ask questions and seek clarification as needed to meet defined objectives.
- Excellent Interpersonal skills (written and verbal)
- Strong working knowledge of applications such as: Microsoft suites, Bluebeam, Adobe Acrobat, Visio, etc.
- Thrives in a demanding environment and has the ability to multi-task.
Qualifications:
- Similar or relevant professional work experience preferred.
- Must have a High School Diploma
- Degree preferred but will accept similar or relevant work experience.
- Experience in similar industry, completing projects and using an EDMS.
