Job Description

Job Title: Business Operations Associate

Job Status: Contractor

Pay: $45-$55/hr, 30-35 hours weekly

Size of Business: 3 founders, 7-10 contractors

Location and Work hours: Remote; 10am-4pm Eastern time

About the Role:

We are excited to welcome a highly organized and proactive individual to our team as a Business Operations Associate! As a key support role, you will work closely with Canopy’s founders to ensure the smooth functioning of our operations. Your responsibilities will encompass project management, administrative support, data analysis, problem-solving, stakeholder communication, and financial management support. Key Responsibilities:


  • Research: Ensure that we are connected to the most effective and inclusive ways of working including tools that support the business.
  • Administrative Support: Streamline administrative processes and implement efficient systems for calendar management, optimizing productivity and reducing scheduling conflicts; provide backup administrative assistance and support as needed, ensuring seamless operations and efficient functioning of administrative tasks.
  • Contractor Coordination: Coordinate with contractors based on business needs, including assessing needs, managing hours, sending requests for support, and working with bookkeeper to make payments
  • Data Analysis: Analyze data using various tools and techniques to identify trends, patterns, and opportunities
  • Project Management: Set up and maintain a project management system, identify tools to help move the business forward, develop and manage project plans, track project progress, identify potential roadblocks, and proactively communicate updates to stakeholders to ensure seamless execution of projects
  • Problem Solving: Identify and address operational issues that may arise within the company, collaborate with team members to develop innovative solutions, and implement and monitor solutions to ensure ongoing operational smoothness.
  • Financial Management Support: In partnership with the founders, design payment schedules, create invoices, monitor and track expenses, assist with payroll and budgeting, and prepare financial reports
  • Stakeholder Relationships and Communication: Foster strong relationships and communicate effectively with stakeholders, including team members, clients, and vendors, and partners to keep them informed about company operations, progress, and initiatives; identify opportunities to create better client experiences and support implementation of solutions.
  • Founder Support: Provide comprehensive assistance to the founders, including helping them manage their priorities, facilitating communication, and offering operational guidance to empower them in decision-making, optimize their productivity, and drive successful outcomes.
  • Process Documentation and Standardization: Identify, standardize, and document processes; create standardized formatting guides and templates for different types of documents, such as presentations, reports, and emails


Key Qualifications:


  • Excellent communication skills to effectively engage with diverse stakeholders.
  • Keen attention to detail to ensure accuracy in all tasks and deliverables.
  • Proficient in analyzing data and deriving meaningful insights.
  • Exceptional organizational skills to manage multiple tasks and prioritize effectively.
  • 3-4 years experience in business operations roles such as project management, administrative support, or data analysis is preferred.
  • Demonstrated ability to effectively serve and engage with clients from all different racial, ethnic, and cultural backgrounds and identities, ensuring their perspectives and experiences are valued and understood.
  • Strong problem-solving abilities to identify and address operational challenges.
