Auction Administrative Assistant, Auctions at Showplace Backstage
Position Overview: Showplace Backstage is seeking an Auction Administrative Assistant at our Astoria location. As an Auction Administrative Assistant, you will play a vital role in executing our auction events and warehouse operations. You will be responsible for vetting prospective bidders, coordinating client and shipper pick-ups, assisting with auction preview and checkout, assessing item conditions, providing excellent customer service, assisting with live and online auction bidding, and working closely with the auction and management team.
Responsibilities:
1.Vet Prospective Bidders: Review and assess prospective bidders to ensure compliance with auction guidelines and policies.
2.Coordinate and Execute Pick-Ups: Arrange and manage client and shipper pick-ups for items at the warehouse, ensuring a smooth and efficient process.
3.Assist with Auction Preview and Checkout: Provide support during auction preview and checkout, including assisting customers, answering inquiries, and processing transactions.
4.Assess Item Conditions: Respond to customer requests by assessing the condition of items in a timely manner and providing accurate information.
5.Backstage Catalog Review: Review the backstage catalog for accuracy, ensuring that item descriptions, images, and other details are correct and up-to-date.
6.Inventory Management: Manage inventory by accurately tracking incoming and outgoing items, maintaining records, and updating inventory systems.
7.Customer Service Skills: Demonstrate excellent phone, email, and in-person customer service skills, addressing customer inquiries and concerns professionally and efficiently.
8.Auction Clerking and Event Assistance: Assist with auction clerking tasks, including recording bids and managing documentation. Provide general event assistance as needed.
9.Weekend Availability: Be available to work on weekends as required by the auction and events schedule.
10.Work Closely with Manhattan Auction Team and Management: Collaborate closely with the Manhattan auction team and management to ensure seamless coordination and execution of tasks and events.
Requirements:
• Prior experience in auction administration or a similar role is preferred.
• Strong organizational and multitasking abilities, with the capacity to handle multiple responsibilities and meet deadlines.
• Excellent verbal and written communication skills to effectively interact with clients and team members.
• Detail-oriented mindset, ensuring accuracy in assessing item conditions and providing customer service.
• Proficiency in using phone systems, email, and in-person interactions for customer service purposes.
• Familiarity with auction clerking processes and event management is a plus.
• Availability to work on weekends in accordance with the auction and event schedule.
