Description


Concern Housing is looking for an Administrative Assistant. Primary person responsible for general office/administrative assistance as well as ensuring building security.


Duties And Responsibilities


Answers front desk phone and monitors security cameras.


Ensures all residents sign in and out of the building.


Ensures all visitors show identification and sign in and out of the building.


Opens, screens, date stamps, and distributes incoming mail soon after receipt.


Stamps and sends outgoing mail daily.


Maintains office supply inventory and prepares purchase orders in the 3rd week of each month for review before placing the order, as necessary.


Type documents, letters, etc. and makes copies as needed by staff, as well as assists with filing.


Assists with Property Management issues/maintenance and ordering of janitorial supplies.


Assists the Program Director with administrative needs as necessary (i.e. staff coverage, coordinate trainings, meeting minutes, etc.).


Assists with the intake process.


Maintains and ensures proper operations of all agency machines (i.e. copier, fax machine, shredder).


Primary person responsible for keeping the office neat and orderly (e.g., reception area, conference room, and staff office areas).


Ensures that all office and other supplies in the open common areas are stocked at all times


(I.e. paper in fax machine and printer, stationary, restrooms).


Collects rent checks, transfers and copies all check information onto Excel spreadsheet, as well as other rent collection and accounting functions (FundEZ).


Remain current with all Agency required compliance documents and trainings.


Salary: $41,600/yr.


Position Requirements


Minimum High School Diploma with minimum four years administrative experience. Word and Excel required.
