Job Description
Team Rubicon (TR) is seeking an Associate, Program Support. The Associate, Program Support reports up through the Program Design & Learning group. This role is involved in documenting new and established disaster response and humanitarian support capabilities, services, and programs that serve people affected by disasters domestically and internationally. This will require the ability to operate in a highly collaborative, fast-moving environment of diverse stakeholders and perspectives to facilitate ideation toward decision-making. The Associate, Program Support will assist with the design and refinement/revision of new and existing capabilities, develop and refine program and capability elements (e.g., doctrine, logframes, outfitting plans), and support the Program Design & Learning team in various projects.


Every day will be a challenge, but every month brings new opportunities for an organization quickly becoming a household name in disaster response. This position reports to TR’s Manager, Program Support and is based out of TR’s National Headquarters in Los Angeles, CA.


Duties:


  • Collaborates with other Program Design & Learning team members in identifying learning needs that support capabilities execution.
  • Facilitates the outfitting of tools, equipment, and personnel needs related to a capability.
  • Assists with the design and refinement/revision of new capabilities, supporting the operational and functional departments to document processes and workflows.
  • Responsible for deadlines, stakeholder engagement and assigned tasks, assisting, and executing other duties as needed.
  • Utilizes internal tools for project management, reporting, and document development/distribution.
  • Assists in the development of operational effectiveness summaries from operational data.
  • Coordinates among project team members to define scope, meet deadlines, and report the status of assigned tasks and projects.
  • Maintains knowledge of current trends, research findings, and best practices in disaster response and humanitarian aid.
  • Collaborates across all functional and operational departments to write, outline, and align final doctrine deliverables that meet operational needs to safely facilitate capability execution during operations.


Experience and Background:


  • Preferred: Experience with Asana Project Management software, Microsoft Office/Suite/365 - Outlook, Excel, SharePoint, Teams, Word, PowerPoint, Microsoft Visio, and Adobe Acrobat
  • Bachelor’s degree in emergency management, homeland security, international development, non-profit management, related field, or equivalent experience
  • 2-3 years of related experience in the military, non-profit, humanitarian aid, international development, technical writing, or within the emergency management sector


Special Requirements:


  • Required: 20-25% travel to support broader organizational activities
  • This is full-time; in-office and the position is based out Los Angeles, CA and offers a 4/1 hybrid work schedule where employees can opt to work from home one day a week determined by team collaboration and business needs (relocation expenses not provided)
  • May require non-traditional hours may be required (evening/weekend work) during high-tempo responses
  • Required: On-call periods to deploy within 24-48 hours of notice
  • Required: Field deployments to disaster operations 1-2 times per year
