The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary
Reporting to the Executive Director of Graduate Admissions, the Associate Director of Graduate Admission Operations is responsible for graduate admissions operations, including the management of the operations team. The Associate Director will supervise the Operations team and will establish and implement admissions policies and procedures in collaboration with the graduate admissions team, as well as, external offices and academic departments. They will uphold and strengthen the integrity of the admissions process flow from application through enrollment. The Associate Director will gather, and provide extensive data analysis for enrollment management for all traditional Engineering programs. This position is a key decision-maker for the Office of Graduate Admissions and will involve long-term strategic thinking and planning as well as key oversight of the Slate CRM system.
Responsibilities
(35%) CRM Processes and Integration/Technolutions Slate Captain:
Manage all activities tied to Slate and related business systems, including design, implementation, testing, enhancements, integration, and maintenance, while following best practices on behalf of the Office of Graduate Admissions, Columbia Video Network, Student Affairs, Academic Departments, Information Technology, Registrar, Specialty Program Leaders, and Institutional Research.
Lead and execute projects related to admissions processes from project inception to implementation, maintenance, and analysis.
Develop and Manage Slate Instance (rules, decisions, dashboards, campaigns, and messaging) to ensure consistent processes across the institution.
Create and deliver end-user training/documentation and develop an ongoing assessment to ensure consistent use of technology tools.
Supervise staff acting as first-level support for all application and system-related concerns raised by staff or faculty, collecting necessary details and triaging the requests for the team including first-level diagnostics.
Provide extensive subject matter expertise (technical and functional) of Slate and related business systems (through self-guided education, as necessary), demonstrate a high level of analysis, commitment, curiosity, and creativity
Analyze complex business problems to identify and independently implement solutions consistent with the School’s vision, exhibiting a high level of analysis, creativity, and resourcefulness
Oversee the documentation of Slate configurations and related integration including but not limited to: data mapping, requirements, architecture diagrams, environment setup, standard policies and procedures, best practices, troubleshooting, and all specific information related to ongoing support and maintenance of the system.
(35%) Admissions Operations Management:
Manage all aspects of graduate admissions and enrollment operations, including application review and verification, decisioning, and ensuring compliance with School and University policies.
Implement the graduate application reader review process between admissions and external offices/departments, including reviewing graduate applications for admission decisions, assigning and distributing files for review, and making admissions decisions and recommendations.
Plan and administration of a graduate admissions operations workflow that engages initial prospects, drives application submission, processes applications, and decisions in a timely manner, and supports the onboarding and enrollment of all new students.
Design and executive a scheduled email communication for applicants to maintain ongoing contact throughout the admissions process.
Recommend, establish, and enforce admissions policies and procedures in consultation with the graduate admissions team and/or external offices utilizing Slate for application processing.
Provide guidance and training to the Operations team to ensure team members are working seamlessly on projects and cross-trained on responsibilities for proper coverage at all times.
Act as a collaborative member of the Graduate Admissions team, participating in all Admissions activities when needed – such as recruitment and yield events, open house, and more.
(25%) Admissions Data Management:
Responsible for providing data analysis for enrollment management, assuming primary responsibility for data analysis, including data cleaning, data management, and statistical analysis tasks, identifying and solving data issues, and tracking, organizing, and maintaining data and metrics.
Oversee the process to identify, build, and manage audit queries to reconcile student records throughout the applicant life cycle and ensure accuracy and consistency of data across various systems.
Work with both internal and external stakeholders to review data and application imports and exports into third-party sources, such as SIS, On-Base, and other systems integral to the student life cycle.
Analyze data and manage historical data for use by School leadership and other offices/departments.
(5%) Other duties as assigned
Minimum Qualifications
Bachelor's degree and/or its equivalent required. Master’s Degree is Preferred.
Minimum 5-7 years of related experience required.
Experience managing a CRM is required.
Experience with Slate Technolutions is strongly preferred. Experience with a university Student Information System (SIS) is beneficial.
Proficiency with SQL, systems/technology integration, spreadsheets, database applications, programming/scripting, desktop/hardware support, html, xml, and other web technologies.
Ability to track multiple projects, set priorities, and meet deadlines under pressure and with frequently changing priorities.
Ability to manage time effectively. Strong communication skills, both spoken and written; excellent proofreading and writing skills. Great organizational and interpersonal skills with meticulous attention to detail.
Demonstrated commitment and ability to maintain compliance with established guidelines, policies, and procedures in order to ensure consistency.
Ability to clearly and effectively convey complex information to individuals or groups of people of varying experience levels.
Must have the ability to exercise good judgment while working collegially in a high-pressure, deadline-driven environment.
