Summary:
The Assistant Project Manager, Case Management will provide oversight of the case management department & work in conjunction with Case Management Supervisors and Team Leads in accordance with all agencies policies, licensing and funding standards and requirements, and adhere to federal, state, and local regulations. The Assistant Project Manager, Case Management will work in collaboration with on-and-off-site staff to create and implement efficient child-centric case management solutions.
Essential Functions:
- Escalate concerns and suggest improvements to the Senior Project Manager, Case Management
- Disseminate policy changes and updated training materials to increase performance and meet new and evolving standards and regulations
- Ensure compliance with the company’s policies and procedures and ensure changes are communicated to the team as necessary
- Ensure a high level of internal and external customer service. Investigate and correct customer issues and complaints relating to quality and reporting.
- Continually review the case management department for compliance and efficiency
- Work closely with the Senior Operations Manager and Corporate Departments to communicate Program changes and or enhancements
- Meet or exceed program productivity expectations on a regular and sustained basis
- Other duties as assigned
- Assist Senior Project Manager, Case Management with the development and refinement of policy interpretation, guidelines, and procedures that will improve or enhance service delivery of the program
- Create, monitor, and ensure the effectiveness, quality, and completeness of data in the company’s internal tracking system
- Ensure that all operations run smoothly and align with quality standards
- Analyze program data to identify trends and performance issues, push productivity, and seek opportunities for improvement
- Support the Case Management Supervisors/Department as they liaise with government and non-government partners
- Ensure compliance with contract requirements and ORR policies via verification of consistent implementation of SOPs
- Verify quality, accuracy, and professionalism of reports before submitting/providing to the customer
- Develop and monitor performance metrics
- Facilitate cooperation and collaboration between remote and on-site Case Management staff and all departments including Clinical Department, Medical Department, and Administrative Department
- Assist in developing and implementing SOPs
Knowledge and Skills:
- Excellent communication skills
- Outstanding organizational skills and ability to manage multiple projects simultaneously with attention to details
- Ability to work with all levels of staff and develop cross-functional relationships
- History of developing new program sites including ability to develop and modify schedules to meet the evolving needs of the program
- Ability to work flexible hours. We operate 24/7/365.
- Knowledge and sensitivity of cross-cultural issues
- Deep commitment to Deployed Services core values and ability to model those values in relationships with colleagues and partners
- Ability to interpret contract policies and procedures for service providers and staff
- Ability to work as part of a team and independently
- Proficiency in Microsoft Office applications, knowledge of database management and ability to navigate industry standard software
- Manager level participation in coaching, developing, and retaining employees and providing a collaborative and positive work environment
Education and Experience:
- Must be authorized to work in the U.S
- Must be able to travel within the Continental United States (CONUS)
- Must pass a drug test, motor vehicle record check, a background check, after accepting a conditional offer of employment.
- Bachelor's degree required. Master’s Degree preferred; or a combination of education and experience may be used in lieu of education alone
- Required: Three (3) years Office of Refugee Resettlement (ORR) experience and 1-year supervisory experience
- Experience in training and providing technical assistance to service providers and/or staff
- Experience with and commitment to working in a very diverse workforce
- Experience working with refugees, immigrants, or limited English speakers
- Must be bilingual in English and Spanish
Physical Demands
The employee may be required to stand, walk, twist, turn, bend, climb, lift, or kneel. Occasional lifting to 25Ibs may occur.
