Job Description

Job Title: Appointment Scheduler

General Summary of Duties: The Appointment Scheduler will report to the Front Office Manager. The position will provide exceptional customer service to new and established patients. This role is crucial to the overall patient experience and will require multi-tasking, focus and effective communication. It is also the duty of the appointment scheduler to maintain accurate records and update necessary information for established patients.

Position Responsibilities:

  • Demonstrate proactive initiative by troubleshooting potential conflicts and directing to the correct department.
  • Respond to patient communications via email, phone, or web submission.
  • Request copies of imaging, lab reports, or sleep studies in accordance with chief complaint.
  • Schedule established and new patient appointments in accordance with physician templates and preferences.
  • Answer phones within two rings.
  • Check voicemail messages and distribute appropriately.
  • Communicate with MA’s and front office coordinators to ensure a smooth clinic flow.
  • Enter patient demographics, pharmacy and all insurance information accurately into their chart.
  • Handle referrals effectively and in regards to our policy and procedures.
  • Schedule audio appointments when necessary.
  • Other duties as assigned by physicians, practice administrator and/or management.
  • Use customer service principles and techniques to deal with patients calmly and pleasantly
