Job Duties
The Virginia Department of Emergency Management is seeking an Administrative Specialist to provide administrative support to our regional office located in Farmville, VA (Region 3). This is a wage position, not to exceed 1500 working hours. This position is also not entitled to state benefits.
The Administrative Specialist will be responsible for coordinating the day-to-day operations of the office and performing a variety of administrative, program, technical, clerical, procurement, and office support duties. Duties include but are not limited to: answering telephones; scheduling, facilitating, and documenting meetings; establishing and maintaining files/records; monitoring and maintaining inventory of office supplies; composing a variety of documents and correspondence; assisting with the preparation of reports; maintaining various organizational platforms; maintaining a high level of professionalism; and performing other duties as assigned. This position will support the Chief Regional Coordinator with daily operational and administrative duties and response operations.

All VDEM employees are designated as essential personnel and may be required to work during emergency situations such as inclement weather and natural or human-made disasters. This may require irregular work hours, work at locations other than the official duty station, and may include duties other than those specified in the Employee Work Profile.
This is a wage position, up to 29 hours per week Monday – Friday between the business hours of 9:00 am – 5:00 pm. Schedule may vary based on business needs.
Minimum Qualifications
- High School Diploma or equivalent
- Demonstrated experience using office equipment (computer, fax, printer, multi-line telephone).
- Considerable experience providing administrative support to include data entry, filing, and other related administrative duties in a professional setting.
- Ability to maintain positive working relationships with internal colleagues and external partners.
- Ability to multi-task, meet critical deadlines, and work with minimal supervision, either independently or on a team.
- Demonstrated experience using Microsoft Office Applications (Word, Excel, PowerPoint, etc.)
- Excellent communication (written and verbal), organizational, problem-solving, and customer service skills
- Working knowledge of office practices and procedures, proper grammar, spelling, and punctuation; and basic mathematics.
Preferred Qualifications:
- Experience with SharePoint, Microsoft Teams, and Google Suites is preferred.
