Job Description
Job Responsibilities


Reporting to the Administrative Assistant, the Administrative Specialist provides clerical and administrative support for seven coaches and the division’s athletic programs.


  • Prepares travel requests and reconciles travel records and related monies.
  • Handles incoming telephone calls and responds or forwards as appropriate.
  • Provides secretarial support for the division’s sports programs and seven athletic coaches, including preparing letters, reports, memos and other correspondence and following up to ensure information/documentation is completed properly and in a timely fashion.
  • Coordinates work assignments for as many as three student employees and monitors their work to ensure it is completed in a timely fashion.
  • Prepares cash advance vouchers, credits monies returned to appropriate voucher, prepares reimbursement requests, and returns checks to Cashier’s Office to replace cash withdrawn.
  • Establishes/maintains office files related to sports programs, including travel documentation.
  • Prepares purchase requisitions and verifies invoices prior to payment.
  • Checks in new equipment and processes receiving reports.
  • Prepares multiple and individual recruiting letters for prospective student-athletes.
  • Prepares game contracts and maintains all contract files and processes payments for game officials.


Minimum And Additional Requirements


High school diploma and four years of clerical/administrative support experience or an associate’s degree in secretarial science or related field and two years of clerical experience.


Knowledge of general office management procedures and best practices. Ability to work effectively and accurately while handling multiple tasks; communicate effectively verbally and in writing; and establish and maintain effective working relationships with faculty, staff, students and the general public. Effective organizational and interpersonal skills. Sufficient technical ability to master software required to perform job duties.


Preferred Qualifications


Proficiency with Microsoft Word, Outlook, Excel and donor/database computer software.
