Job Details:
Purpose
This person will be responsible for administratively managing the Knight Center for Journalism in the Americas, housed in the Moody College of Communication. This includes managing the Center’s financial reporting, grants, contracts, and general operations while ensuring compliance with UT policy and procedures.
Responsibilities
  • Create the Knight Center’s annual budget and income projections. Closely monitor the Center’s finances (including expenditures and revenue) and create monthly financial reports. Write accompanying narratives that highlight noteworthy details from each report.
  • Manage the Knight Center’s overall business operations and ensure that operations run smoothly. As part of these efforts, the Administrative Manager will collaborate closely with the Center’s staff and will supervise the Administrative Associate.
  • Manage costing allocations for all Knight Center employees and ensure that allocations are consistently up-to-date and accurate.
  • Help to create budgets for new grants, and closely follow budgets for existing grants. Ensure that grant funds are being spent from the correct budget categories and assist with the creation of financial reports in timing with grant deadlines.
  • Perform other duties as assigned.
  • Oversee all contracts with outside funders. Serve as the liaison between the Knight Center and the university’s business services and legal teams. Keep track of deliverables and related timelines outlined in each contract and help to ensure that requirements are met.
  • Work with the Center’s Director and Associate Director to think strategically about opportunities for revenue generation and to support development/fundraising efforts.
  • Oversee service agreements for all contractors and work closely with the Center’s Administrative Associate to ensure that all contractors are paid in a timely manner. Keep track of contract end dates, manage contract renewals, and determine which funds should be used to pay each contractor.
  • Oversee processing of all event payments and documents. Create a budget for each Knight Center event and assist with event-related logistical tasks as needed.
  • Develop effective office protocols and procedures to strengthen the Center’s overall operations and to ensure that the office space is serving the needs of staff and student employees.
  • Use the university’s Workday platform to appoint new student hires, determine costing allocations, and assist with onboarding and separation.
Required Qualifications
  • Bachelor's degree in a field related to the work to be performed.
  • Ability to maintain punctual, dependable hours on a regular basis.
  • Previous experience at the Administrative Assistant or Associate level.
  • Demonstrated ability to assess workload, prioritize tasks, and meet deadlines.
  • Demonstrated ability to manage concurrent projects while proactively communicating with stakeholders.
  • Five years of relevant experience.
  • Excellent written and oral communication skills, as well as strong interpersonal skills.
  • Excellent organizational skills and attention to detail.
  • Experience with basic accounting practices, including the preparation of budgets and reports.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
  • Experience with event planning and management.
  • Previous experience in the fields of academia and/or journalism.
  • Proficiency in the university’s accounting and human resource systems, including DEFINE, FRMS, and Workday.
  • Fluent or conversant in Spanish and/or Portuguese.
Salary Range
$64,500+ depending on qualifications
Working Conditions
Standard office conditions. Repetitive use of a keyboard at a workstation. Use of manual dexterity. Additional evening and weekend hours as needed for special events.
