Our partners at Perigee Fund are looking for a new Administrative Coordinator!
  • Job Type: Part-Time & Full-Time Option Available, Permanent
  • Candidate must live in WA state

  • Salary: $70,000 - $80,000
  • Location: Seattle, WA


Perigee Fund is a five-year-old philanthropic organization focused on early relationships between babies and primary caregivers. Perigee works in the prenatal-to-age 3 space. The vision is to end intergenerational trauma through the power of early relationships. Perigee works to embed support for caregiver and infant mental health in family-serving policies and systems with an imperative to meet the unique needs of families affected by trauma, racism, and poverty.

The Opportunity


Perigee Fund seeks an experienced administrative professional to join their team. This is a new position and the person who occupies it will be part of further shaping and refining it based on what they bring to the role. This role involves providing general administrative support to the management team, as well as assistance with operations tasks and special projects. The ideal candidate will derive professional satisfaction from serving the prenatal-to-age 3 families Perigee prioritizes by adding needed administrative capacity to the Perigee team.


Responsibilities


Provide general administrative assistance to Executive Director, Director of Planning and Operations, and Director of Programs (the Management Team)


  • Support leadership and management team meetings
  • Provide administrative support and materials preparation for new advisory group meetings
  • Actively commit to Perigee’s equity north star and ongoing equity, diversity, and inclusion efforts
  • Attend and participate in Perigee Fund staff meetings, select team meetings, and retreats
  • Cross-train with and collaborate with other administrative colleagues
  • Process monthly expense reports
  • Update and maintain organized files, records, and a system for tracking, monitoring, and prioritizing tasks in cloud-based shared access systems
  • Plan and book in-state and out-of-state travel
  • Work on special projects and respond to requests as support and coverage are needed
  • Assist operations team with special projects as needed
  • Help management team proactively track and manage to key dates and deadlines (e.g., strategic planning sessions, budgeting season, performance reviews) throughout the year
  • Assist with reconciliation of monthly organizational financials and assuring data accuracy and quality
  • Manage calendars and schedule virtual and in-person calls and meetings

  • Contribute to the development of strong, efficient administrative systems and practices that enable all team members to work smarter

Requirements


  • Experience working with racially and ethnically diverse colleagues and communities
  • Demonstrated attention to detail a must
  • Ability to meet deadlines and manage competing priorities, while balancing the need for flexibility in the face of unfolding and evolving scenarios
  • Minimum 5+ years work experience providing administrative assistance
  • Strong written and oral communication skills
  • Ability to exercise discretion and judgment in handling sensitive and/or confidential information
  • Receptive to feedback and demonstrated ability to learn from both challenges and successes
  • A high school diploma or GED required. Administrative Assistant Certificate, associate’s degree, or bachelor’s degree preferred.
  • Ability to adapt to and work effectively across colleagues and teams who have different strengths, styles, and responsibilities
  • Customer service orientation externally and internally with the ability to build and maintain a positive work environment
  • A self-starter who readily picks up on contextual information
  • Highly organized, efficient, and proactive
  • Experience in philanthropy or the non-profit/social sector a plus
  • Proficient with Microsoft Office Suite, Zoom, and Teams. Experience administering webinar technology and using online survey tools, or motivated to learn. General tech savviness a plus.


Additional Details


While this role supports three directors and generally works cross-functionally, this position reports to the Director of Planning & Operations and is a member of the operations team.


The starting salary range is $70,000 - $80,000 and includes a comprehensive benefits package. Perigee is open to an 80% FTE arrangement, if desired, with commensurate salary range adjustment.


100% FTE, Salary Range $70,000 - $80,000


80% FTE, Salary Range $56,000 - $64,000


The entire Perigee team, including the Administrative Coordinator, is based in Seattle. Perigee is operating in a hybrid arrangement with staff working from the office Tuesdays and Thursdays (9am-3pm). Staff may choose to work from home or the office on the other days.
