Position Responsibilities: Reception


  • Assist with minimal coverage on Tuesday, Wednesday and Thursday.
  • Coverage of reception will be on Monday and Friday.
  • First line of contact with clients and to ensure clients are assisted properly.
  • Answer all incoming calls to the main number and appropriately route calls and/or provide answers to all inquiries.


Position Responsibilities: Administrative Role


  • Manages and coordinates multiple calendars for Leaders including client meetings and team meetings.
  • Supports and prioritizes the needs of assigned Leaders.
  • Manage sensitive matters with a high level of confidentiality and discretion.
  • Prepares all travel arrangements and documentation including expense reports, timesheets.
  • Ensures architectural licenses are updated and accurate along with maintaining AIA credits for recording with the Licensure Department.
  • Functions as an active team member and liaison within the Partnership and Principal Administrative Group.
  • Prepare presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
  • Flexible hours as required by the needs of business for projects and meetings.


Minimum Qualifications


  • Effectively communicates with supervisors through timely and appropriate written, oral, and visual means.
  • Advanced computer skills including document and presentation preparation; database creation and management; contact management; research and high proficiency in Microsoft Office and Google Workspace.
  • Minimum of 2 years’ experience as a high functioning administrative assistant to senior leaders or equivalent corporate experience.
  • Demonstrates strong organizational and time management skills.
  • Demonstrates excellent interpersonal, written, and verbal communication skills.
  • Exhibits initiatives, problem solving, and decision quality with a high attention to detail in a fast-paced environment.

Compensation for this role is based upon experience, qualifications, location, and education and typically ranges from $58,000 – $65,000.
