Your Role
As an Administrative Assistant, you will play a crucial role in supporting our clinical team by ensuring smooth operations and efficient communication. Your responsibilities will include creating cases in our system, accurately entering data, scheduling onsite assessments, and providing technical assistance for nursing home and hospital staff. You'll be the key liaison between service providers, families, and our clinical team, facilitating the assessment process. Moreover, you'll resolve customer inquiries, handle clinical calls or concerns with care, and adhere to internal policies and procedures to maintain high productivity and quality standards.

What You'll Do
As an integral part of our team, your daily tasks will include:
Developing and maintaining a solid understanding of internal policies, procedures, and services.
Utilizing automated systems for efficient logging and retrieval of information, ensuring accurate and timely data entry.
Providing prompt, accurate, and courteous responses to inquiries and complaints from customers or providers via telephone, email, fax, or mail.
Interacting with a diverse range of stakeholders, including providers, nursing homes, hospitals, individuals, and families.
Scheduling both face-to-face and virtual assessments, ensuring smooth coordination and organization.
Investigating and resolving customer problems, and promptly escalating difficult situations to the appropriate party.
Initiating and managing files by collecting and entering demographic, provider, and procedure information into the system.
Serving as a vital liaison between clinicians and external providers, facilitating seamless communication and collaboration.
Maintaining detailed logs and documenting the disposition of incoming and outgoing calls.
What You'll Need
High School diploma or GED.
Medical terminology course(s) helpful.
Knowledge of Medical Terminology.
Knowledge of Health insurance industry.
Effective computer/technical skills, including proficiency in electronic mail, intranet, and industry standard applications.
Ability to fluently communicate in English over the telephone.
Strong multitasking abilities, especially when conducting telephone conversations while working on a personal computer in a fast-paced call center environment.
Courteous and professional customer service skills, with a calm and composed demeanor when handling difficult calls and requests.
Experience
2+ years of customer service experience in the healthcare industry.
Experience with PASRR is a plus.
