Job Description

The primary purpose of this position is to provide executive administrative support and serve as key advisor and principal office assistant for the dual-hatted Commander of the 733 MSG and Army Support Activity (ASA) as well as the 733 MSG Deputy Commander and Command Sergeant Major, and the Deputy to the Commander of the ASA on a broad of administrative functions. Responsibilities Independently notes and follows-up on commitments made at meetings and conferences by staff members, and maintains Command Group's calendars, coordinates meeting arrangements, and/or schedules meetings and/or conferences. Responsible for the administrative management of all recurring and non-recurring executive correspondence, reports, and other documents obtained from the staffs, files, and other sources going to 733 MSG/CC, CD, CSM, or ASA Commander or Deputy to the Commander for approval, situational awareness, and/or signature. Facilitates Group/ASA-wide communication by ensuring that staff at all levels are fully informed on internal and Group/ASA wide procedures. Serves as the subject matter expert for administrative support programs. Performs other administrative work in support of the office/organization. Requirements Conditions of Employment Qualifications In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, General Administrative, Clerical, and Office Services. SPECIALIZED EXPERIENCE: Applicants must have at least one (1) year of specialized experience at the next lower grade GS-06, or equivalent in other pay systems. Examples of specialized experience includes evaluating management and program operations in order to carry out the more complicated and innovative projects assigned; applying standardized administrative rules, procedures and operations to perform a variety of administrative and procedural assignments; composing and preparing nontechnical correspondence such as requests for information concerning the organization's mission and programs; preparing and finalizing various recurring reports and/or collecting and consolidating data into a final format; establishing and maintaining suspense and control systems, following up with staff members on due dates and extensions; and receiving, controlling, logging, marking, and safekeeping classified material. FEDERAL TIME-IN-GRADE (TIG) REQUIREMENT FOR GENERAL SCHEDULE (GS) POSITIONS: Merit promotion applicants must meet applicable time-in­-grade requirements to be considered eligible. One year at the GS-06 level is required to meet the time-in-grade requirements for the GS-07 level. TIG applies if you are in a current GS position or held a GS position within the previous 52 weeks. NOTE: Applicants applying as VEOA candidates who are current GS civil service employees or are prior GS civil service employees within the past 52 weeks must also meet time-in-grade requirements. KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: Comprehensive knowledge of management methods and organization practices and techniques of the ASA, MSG. IMCOM and ABW. Knowledge of automated data processing software programs and capabilities used to accomplish task. Ability to review, verify, and correlate data, and locate, assemble, and compose information for non-routine reports, inquiries, and non-technical correspondence. Comprehensive detailed knowledge relative to organizational structure, function and mission of the MSG, ABW, ASA, IMCOM, ACC and HQ Army and Air Force. Knowledge of administrative and clerical functions and how they relate to substantive programs. Comprehensive knowledge of policies, practices, and personnel contacts used to accomplish tasks. Working knowledge of processes for evaluations and awards/recognition programs. Knowledge of commonly used methods, practices, procedures, directives, policies, and processes to formulate, justify, and execute assigned duties in support of the mission, structure, goals, work processes, and programs of assigned activities/organizations. Skill in gathering, assembling, and reviewing source of factual information, such as that found in reports, timekeeping records, GPC documentation, work reports, and briefings. In-depth knowledge of format and clerical procedures to review a wide variety of materials from varied sources. Knowledge of correct grammar, spelling, punctuation, capitalization, and format to be able to accurately prepare and edit written correspondence and reports. Skill in typing; a qualified typist is required. Knowledge of software programs to produce a wide range of correspondence requiring use of advanced software functions to enhance productivity or meet needs of complex formats such as graphics or tables within text, to edit and reformat electronic drafts, and to update and revise existing databases or spreadsheets. Ability to communicate effectively, both orally and in writing. Skill in the ability to answer vague and ambiguous questions, requests, or complaints with detailed and specific explanations. Ability to plan and organize work to meet established deadlines. PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment.
