Job Description
Part Time | Day Shift | No Weekends!
  • Pay between $22-25/hour ** (based on experience)

Responsibilities Of The Administrative Assistant
  • Prepare daily check register for bookkeeping department.
  • Type correspondences for the "Friends" for events as needed.
  • Maintain files.
  • Handle the Administrator's daily postal mail.
  • Complete and file Federal and State forms/reports as needed.
  • Distribute purchase orders to department heads as needed.
  • Schedule meetings for the Administrator; prepare meeting materials and provide comprehensive coordination for the same.
  • Send out sympathy letter/card to family when a resident expires.
  • Create tracking mechanisms and routine reporting, based on Administrator requests and needs.
  • Assist nursing with Nursing Policies Manual as needed.
  • Complete mailings as requested.
  • Field inquiries from families that come into the Administrator's office; provide information and assistance to families via telephone, email, and in-person.
  • Assist other staff in the facility regarding secretarial duties as needed. (ie., reports for nursing, social services, resumes, audits.)
  • Compile information for, and complete, ad-hoc reports for Administrator as needed.
  • Send out family survey (deaths or discharges) every month.
  • Update contract book as needed.
  • Take and maintain minutes of meetings as needed.
  • Answer correspondence of the Administrator as requested.
  • Assist in planning events outside of the facility. (ie, special sessions, meetings, retreats.)
  • Assist with preparation for Annual Meeting of the Corporation annually.
Qualifications For The Administrative Assistant
  • Experience with office equipment including computers, tablets, copy machines, fax machines, and multi-line telephones.
  • Possess the ability to multi-task.
  • Able to work independently with minimal supervision, and as a part of an interdepartmental team.
  • Ability to communicate well with others in a pleasant, professional, and courteous manner.
  • High School Diploma.
  • Strong computer skills including Outlook, Word, Excel and PowerPoint.
  • Exceptional and tactful communication skills, both orally and in writing.
